Overview

Prestige Healthcare Resources Inc (PHRI) is seeking an experienced, pro-active, thoughtful team member who can make a substantial and valuable impact to the organization. We currently provide services to over 1,500 patients in two different states. We are in growth mode and looking to scale to providing care to over 10,000 patients in 5 different states over the next 3 years. Our focus is advocating and implementing an integrated care model approach to the underserved population undergoing behavioral health related issues.

Position summary

Reporting to the CEO, the Executive Assistant manages the schedules and communications of key company executives. Major responsibilities also include prioritizing emails and phone calls, gathering documents to prepare for meetings, managing projects and contracts and coordinating travel arrangements. The executive assistant to the CEO will also handle various board governance activities. To be successful in this role, you should be well-organized, have great time management skills, and be able to act without guidance. You should also display high levels of self-direction, loyalty and discretion, and be able to interact with people of all levels in a confident, professional manner.

Primary duties & responsibilities

Manage schedules: Plan and schedule meetings, conferences, teleconferences, and travel for executives. Manage calendars, prioritize emails and phone calls, and take notes and record minutes.

Manage communications: Receive incoming communication on behalf of senior staff, review contents, and summarize and/or distribute contents to appropriate staff. They also greet guests and customers, and answer or direct inquiries.

Handle office management: Perform clerical and administrative tasks, such as drafting letters, memos, invoices, reports, and other documents for senior staff. They also organize reports and documents, and maintain paper and electronic filing systems.

Manage travel: Arrange travel and accommodations for executives, including transportation, meals, and other activities.

Board governance: Schedule and attend Board meetings, prepare Board information and take meeting minutes.

Experience and Professional Qualifications

Excellent verbal and written communication skills.

A Bachelor’s Degree in a business or communications discipline

5 years work experience as a senior level administrative assistant or executive assistant.

5 years of work experience in the private sector.

Advanced skill in Microsoft Outlook, Word, Excel, and other standard software applications.
