Responsibilities

As a Building Manager with Hines, you will have full responsibility and commensurate authority for the management of all maintenance and operations functions, budget, and assigned personnel at an industrial tenanted property. The role is responsible for maintaining the highest level of customer service by responding to client and tenant service requests, scheduling preventative maintenance, providing support to other internal departments, and all business unit administrators. Responsibilities include, but are not limited to:

Develop and maintain ethical, professional, and courteous relations with site occupants, tenants, contractors, and clients.

Handle the administration and management of all activities related to building operation and maintenance, cleaning, and client service requests, including ensuring that proper insurance certificates and risk assessments are on file for all vendors working on site.

Manage all service contracts related to the operation and maintenance of the building.

Ensure proper standard of care for all physical facilities, with high emphasis on Landlord lease-related operational obligations, water tightness conditions, safety, risk management and business continuity.

Oversee the health and safety management, ensuring compliance to Hines standards as well as local statutory obligations and code requirements.

Manage all client and tenant requests and communication; ensure these are processed correctly, properly recorded in the work order system, and completed on a timely basis.

Develop and maintain positive relations with all occupying business units. Meet with the tenant contact or business unit representatives on a regular basis, to dispense information related to facility support and solicit input.

Support project managers for construction, CAPEX, end of life replacements and move projects including the provision for freight elevator scheduling, and construction cleaning.

Coordinate efforts to ensure effective resolution of issues affecting both the building and the tenant.

Inspect all facilities, identify faults and discrepancies, and coordinate repairs.

Ensure that there are no major risks associated with public liability, fire and lift safety, essential services, non-essential services, the staff and office and contractors. This includes addressing all issues within the appropriate timeframes and ensuring the clients risk management plan is in place for the asset.

Provide information and direct input in operational expense activities, including budget preparation (including capital expenditures), financial planning, and variance analysis. Provide economic justification for expenses including tendering for large purchases and preparing tender evaluations.

Plan and procure relevant maintenance services of all Building, Fire Safety Systems including ensuring adequate inventory of spare parts and consumables.

Responsible for the fire safety systems including supervising the appointed Senior/Fire Safety Manager.

Review Fire Safety procedures and emergency responses (Evacuation, Fire Fighting, In-place Protection, ERP etc.), set up the Certified Emergency Response Teams (CERT).

Support the finance team to ensure proper and timely payment of all accounts payable including the coding, verification of accuracy, approval, and forwarding for payment.

Submit monthly required reporting for the site, including metrics, project accomplishments, and open issues.

Develop and manage annual budgets and monthly variance reporting for the site.

Review and approve vendor invoicing ensuring all required back-up has been provided.

Comply with all company, client, regional policies, and standards.

Collaborate with internal teams to develop a site-specific tenant satisfaction plan.

Qualifications

Minimum Requirements included:

Degree from an accredited institution in real estate management, business, facilities management, or engineering.§

Five plus years related real estate/facilities work experience.

Strong industrial MEP and BMS understanding and experience.

Experience using preventative maintenance management and work order software.

Supervisory experience strongly preferred.

P&L responsibility and budgetary experience.

Successfully complete the Hines Training Programs as required for the role.

Interact with employees, visitors and contractors with poise and diplomacy.

Maintain a calm demeanor in emergencies.

Manage and understand general ESG concepts (e.g., carbon, net zero) and environmental certifications (LEED, Green Mark).

Compose business letters, expositions, summaries, and reports, using proper format, punctuation, grammar, diction, and style.

Speak before an audience with confidence, using appropriate communication skills/style.

Demonstrate strong initiative and customer service orientation.

Establish and maintain a cooperative working atmosphere among staff.

Exchange ideas, information, and opinions with others to formulate policies and programs and/or arrive jointly at decisions, conclusions, or solutions.

Demonstrate proficiency in Microsoft Office software.

Work indoors in office approximately 40% of the time, and industrial field work 60% of the time.

Use olfactory, auditory, and visual senses to inspect building and detect emergency alarms.

On occasion, perform physical inspections of the property which may include climbing up and down stairs, ladders or accessing restrictive openings.

Though occurrences are rare, be accessible 24 hours a day in case of an emergency and perform on-site operations management during natural disasters or major weather events.

Transfer between properties and work overtime as business needs deem appropriate.
