The executive administrative assistant is responsible for providing primary administrative support of a highly confidential nature and exercises discretion in the performance of duties. The position is responsible for providing primary support to the Executive Vice President (EVP) and assists with day-to-day operations of the Executive Vice President’s Office. This individual completes reports and correspondence for the office as necessary, manages phone inquiries, and maintains digital and physical files of the Executive Vice President’s Office.

Essential Duties and Responsibilities

Maintains the Vice President’s calendar, including schedule meetings.

Serves as confidential liaison to various Board of Trustees (BOT) committees

Record minutes for various BOT and institutional committees

Coordinates the collection of data for external reporting

Attends meetings on behalf of the EVP

Provides Office coverage

Prepare mailings, draft correspondence, and document constituent relationships on behalf of the Vice President.

Manages visits and calls to the Vice President’s Office.

Assists with the preparation of reports and presentations for the EVP.

Triages internal and external concerns and assigns to the appropriate individuals for resolution.

Responsible for maintaining official documents and records as appropriate for the Vice President and the business office.

Participates on institutional committees as requested or assigned.

Provides support services to committees including arranging for meeting rooms, gathering materials, analyzing items requiring a determination and recommending appropriate action.

Assists in developing organizational arrangements, performance criteria and administrative procedures to help achieve organizational goals.

As directed collects data for the annual budget request; monitors office expenditures.

Assists in the preparation and coordination of reports for internal or external distribution; insures that information is collected, integrated, compiled and analyzed on a timely basis.

Manage and enroll employees in the company P card.

Provides support services to committees including arranging for meeting room, preparing required materials, analyzing items requiring a determination and recommending appropriate action.

Performs other duties and special projects as assigned.

Qualifications

Bachelor’s degree preferred.

3 years of experience directly related to the duties and responsibilities specified.

Additional directly relevant experience will be considered in lieu of degree requirements.

This position requires poise, maturity, organizational skills, time management skills, detail management, and excellent written and interpersonal communication skills.

Technical Skills Required:

Competence in Word, Excel, PowerPoint, Google Applications, and a willingness to learn other computer applications as necessary to fulfill position responsibilities.
