Job Description

$24.615 - $26.687

Days, Monday - Friday

Shift

8 hrs

Expected Number of hours: 20 hours/week (not a guarantee of hours)

As a key member of our Registration/Admission Clerical team, the Clerical Associate’s responsibilities include, but are not limited to: provide clerical support to Mental Health Services in all aspects of clerical needs in an outpatient clinic. On-going maintenance of files, booking of appointments and other clerical support, including sorting and filing of reports, opening medical records, discharges while working with CDS and OMHRS, maintaining training files. Maintenance of filing units including record shifting, purging, and general file management duties. Retrieval and faxing of documents. Answering the telephone and directing calls. Processing information for release to external agencies. The Clerical Associate must maintain strict confidentiality of all patient information in accordance with the Personal Health Protection Information Act (PHIPA).

This is position will work days for the Mental Health program. Some weekends and/or evenings may be required. This position also involves inpatient unit relief, performing registration/clerical duties as required for the Mental Health Program.

The physical demands of the role may include but are not limited to sitting, standing, walking, pushing, pulling, lifting and bending. This position contributes to ensuring there is a safe environment for patients, staff and visitors and enhances an exceptional patient experience. Other duties as per job fact sheet.

Skills and Qualifications

Medical Office Administration program certificate required

Medical terminology certificate required

Recent experience in a hospital environment preferred

Knowledge of psychiatric terminology and experience working with psychiatric patients required

Familiarity with Meditech medical record modules, Meditech terminology, Meditech system modules including order entry and admissions, and community wide scheduling an asset

Knowledge of health record systems, privacy concepts, and basic release of information principles required

Knowledge of health record processes (discharges, quantitative analysis, coding and abstracting, ect.) required

Ability to handle a physically demanding job involving occasional heavy lifting, overhead reaching, walking and bending for prolonged periods required

Knowledge of and experience with standard office equipment (computers, printers, photocopiers, fax machines, etc.) required

Superior keyboarding skills and Microsoft office experience required

Excellent interpersonal and communication skills (both verbal and written), telephone communication skills, and customer service skills essential

Ability to prioritize in a fast paced environment with competing priorities, while demonstrating excellent customer service skills

Able to perform well with minimal supervision

Demonstrated ability to attend work on a regular basis is required
