Position Summary

Guggenheim Securities (“GS”) is seeking an exceptional individual to join the Premises team. This person will join a highly energized team responsible for maintaining firmwide operational standards and will be responsible for understanding and performing the fundamental duties of an Administrator. In addition to excellent communication skills, the ideal candidate will demonstrate an ability to roll up their sleeves and perform any responsibilities needed to ensure success. The successful candidate will be comfortable interacting with all levels of employees throughout the organization in a fast-paced environment. The position is in the New York office.

Essential Job Functions

Daily maintenance of the facility and reporting/resolving facilities related issues or requests thru a ticket system

Maintenance of floor plans and assistance with space planning using CAFM Software

Coordination and scheduling of employee workstation moves with the IT Helpdesk

Scheduling, coordination and supervision of vendor work with the Building including the day porter service

Assist with the set-up and breakdown of internal and external events

Assist with building IDs, guest badges and registration with building security, as well as enforces all necessary company security measures

Assist with facilities projects including build-outs, demises, and reconfigurations of internal space

Assist in the response of any facilities related issues like power outages, leaks, HVAC issues, etc

Strong email communication skills.

Basic computer knowledge with working knowledge of office machines.

Must have the confidence and excellent communication skills to interact with various levels of business groups and senior management.

Ability to work within a team and able to take control of a situation and resolve it with minimal disruption to business operations.

Ability to be successful in a stressful, deadline driven environment while still maintaining a strict attention to detail and prioritize issues appropriately.

Strong problem-solving skills and demonstrated ability to take initiative and critically analyze processes and procedures in a push toward constant improvement.

Must be able to coordinate several activities at once.

Ability to lift up to 50lbs

Preferred Qualifications

Strong knowledge of MS Office, including Outlook, Word, Excel, and Power Point.

Ability to effectively communicate and collaborate with diverse personalities in all levels of management, as well as outside vendors and clients, by maintaining objectivity and demonstrating maturity

Strong customer service skills a must

Good interpersonal, organizational, communication and problem-solving skills are required

Analytical, detail-oriented, flexible, and decisive.

Proactive & solutions-oriented; innovative.

Learning agile; able to adapt quickly and appropriately in accordance with the constant evolution of the company and industry.

Responsive to client needs.

Collaborative; energized by the open exchange of ideas.

Basic Qualifications

3 years of related Facilities and Office environment experience.

Work Location

Currently, this role is expected to be in the New York office at least 4 days per week.

Salary

Annual base salary between $52,000 and $60,000.

The base salary range represents the low and high end of the anticipated base salary range for this position. Actual base salaries may vary depending on factors such as location and experience. The range listed reflects base salary only, and the total compensation package may include other components such as incentive compensation.
