The opportunity

EY Trinidad is offering an exciting new opportunity for Document and Administrative Support Specialist within the Core Business Service Line (CBS). This position demonstrates and applies advanced knowledge and technical skills of standard business and firm applications. This specialist role is responsible for developing and editing documents with speed and accuracy, as well as assisting with printing and duplication as needed. The role is also responsible for general administrative support to the Service Line as required and assists the team with all phases of project management, including customer service, proper documentation, and effective communications.

Responsibilities include (but are not limited to):

Has very strong language skills, uses advanced technical skills and remains current with business applications (e.g. PowerPoint, Word, Excel, Acrobat, Adobe Illustrator, Adobe Photoshop) to support a variety of deliverables and tools

Proofreads client reports and other documents for accuracy

Produces template-based content for example drafting letters, emails, etc.

Performs/incorporates data input, editing, formatting, mail merging and revisions, including grammar, spelling, punctuation and checks for mathematical accuracy

Assists with creative design when necessary, including incorporating graphic and data images into documents and templates according to firm branding

Assists with print production, prepares files for printing/electronic deliverables and performs standard electronic file management

Maintains compliance with all firm technology tools/processes, including utilization/productivity requirements

Understands and adheres to firm’s quality standards and other firm-related procedures and guidelines, including branding

Provides general administrative support and ad hoc requests as required to the Service Lines as needed for example:

coordination of internal and external communications as required

support to internal teams, specifically during busy periods re formatting templates, quality assurance, brand compliance, data formatting, proof reading

support to Executives in their external commitments and personal tasks where required, for example; bill payments

Skills and Attributes

Advanced skills in Word, including creating styles and macros/VBA; Excel, including creating formulas and macros/VBA; Adobe Acrobat and PowerPointProficient knowledge of Visio and Access

Snowledge of styles, master pages, templates, macros, toolbars, line spacing and template formatting

Advanced Lotus Notes (email) editing skills, including creating buttons and invitations

Ability to apply existing templates/standards to new/existing documents

Proficient in statistical input of data (e.g., numbers, text, tables) and exceptional attention to quality and detail

Strong customer service skills; understands urgency in communication/interpersonal skills

Ability to team locally/nationally/globally

Solid knowledge of firm brand/strategy

To qualify for this role you must have:

Bachelors or Associate's degree in Management Studies, Mass Communications or English Language, or a related area

Certification in Professional Writing, Marketing, Communications or related discipline will be considered an asset

Minimum 4-5 years of related experience. Background in Accounting/Finance industry would be valuable
