Job Overview

We are seeking an experienced and highly organized Executive Secretary to support our Director at Chennai Urology And Robotics Institute. As the Executive Secretary, you will be responsible for managing and coordinating the Director's schedule, preparing correspondence and reports, and performing various administrative tasks. This is a full-time position based in Chennai, Tamil Nadu, India and requires a mid-level candidate with 4 to 6 years of experience. Excellent communication skills are essential for this role.

Qualifications And Skills

Bachelor's degree in Business Administration or related field

Proven experience as an Executive Secretary or similar role

Excellent communication and interpersonal skills

Strong organizational and time management skills

Proficient in Microsoft Office Suite

Ability to handle confidential and sensitive information with integrity

Strong attention to detail and accuracy

Ability to prioritize tasks and work under pressure

Professional and polished demeanor

Roles And Responsibilities

Manage and maintain the Director's calendar, ensuring effective scheduling of appointments, meetings, and travel arrangements

Prepare and distribute correspondence, memos, and reports on behalf of the Director

Coordinate and arrange meetings, including preparing agendas, taking minutes, and following up on action items

Handle incoming and outgoing communications, including screening calls and responding to emails in a professional manner

Maintain confidential records and files, ensuring information is organized and easily accessible

Assist in preparing presentations, including gathering data, creating slides, and proofreading content

Handle travel arrangements and accommodations for the Director and other team members as needed

Provide general administrative support, including maintaining office supplies, managing expenses, and coordinating logistics for events
