Our locally owned, Asheville-based real estate agency needs an organized people person with an eye for design to help with agent support needs in our busy office. This position requires a skill for multitasking and an ability to use simple design tools like Canva to fill out pre-designed templates and follow instructions on how to customize pre-designed documents.

As a real estate agency with more than 40 agents on our team, Town & Mountain's office is a vibrant and active place to work. The ideal candidate for our Administrative Assistant position is someone who likes to be active at work and is happiest in a social environment where everyone pulls together to meet deadlines. Due to the time-sensitive nature of real estate work, you may find yourself frequently evaluating your priorities and shifting your to-do list in order to assist agents with immediate needs.

Key Competencies

The ideal candidate will be able to fulfill the following job responsibilities:

Able to process/prioritize time-sensitive requests and multitask effectively, including handling a variety of different types of small tasks in a single day

This prioritization may include tight turnarounds for time-sensitive work requiring that other projects get shifted around. This person should be proactively communicative where appropriate if lower-priority tasks get shifted and will be completed later than an initially stated deadline

Can effectively shift focus quickly without losing momentum; for example, they can be interrupted in the middle of a task and pick it back up easily once the interruption is over

Is consistently friendly and helpful with the people who work in the office and comfortable with basic office technology to the point that they can troubleshoot basic office tech problems with things like printers, modem/router, computer operating systems, Google Drive, etc.

Responds promptly to communications from agents, colleagues & vendors across a variety of formats, including email and phone calls. Manages follow-ups to keep projects on track

Perform simple marketing-related tasks, including

Follow instructions to complete templates for our library of designed documents, including flyers, emails, postcards and other common real estate marketing deliverables

Create & post templated/pre-planned content to social media

Monitor comments/reviews on social media & directory websites & respond according to instructions

Use AI tools to automatically enhance photos taken on agents' phones

Take responsibility for timely completion and delivery of marketing collateral such as flyers, emails, brochures, signs & business cards that agents need for time-sensitive listings

Maintain knowledge & organization of marketing systems documentation, including templates, SOPs & other information

Distribute & process satisfaction surveys to agents & clients

Coordinate with vendors for printing, photography & design as needed

Requirements

The ideal candidate will satisfy the following requirements:

Education: This position does not require a specific degree, but does require that the candidate communicate clearly and use proper spelling/grammar

Experience: 2+ years of experience in a professional office setting, ideally in real estate, performing tasks similar to what is required for this position, including basic design/marketing duties such as using design software (e.g., Canva) to fill out templates

More experienced candidates are strongly encouraged to apply and may negotiate a higher salary offer

Available to work in-office from 9am-5pm, M-F and does not require frequent schedule shifts

Physical requirements: Able to lift boxes or signs up to 20 pounds
