The Harvard Ed Portal is a collaborative partnership between Harvard University, the City of Boston, the Harvard Allston Task Force, and the Allston-Brighton community. The Ed Portal is the Allston-Brighton community’s front door to Harvard’s educational resources (virtual and in person) in arts, wellness, and workforce and economic development. The Harvard Ed Portal’s Workforce Development Program focuses on supporting unemployed and underemployed Allston Brighton and Cambridge community members in their career explorations and searches.

The Harvard Ed Portal STEM Career and Green Jobs Pathways Program focuses on assisting individuals in Allston Brighton and Cambridge in entering STEM Careers. Cambridge is already a focal point for life science companies and Allston Brighton area is an emerging center of life science development.

Position Description

Ed Portal Operations Team:

Primary operational support for Workforce and Economic Development (WF & ED) programs

Responsible for reserving space and providing the information necessary for the creation of operations plans for all WF & ED programs

Provide general operational support for Ed Portal programming including occasional front desk/phone line coverage, moderating of virtual Ed Portal programs, and providing staffing support (supply ordering, AV support, room setup, and breakdown) for in-person programs as needed. Program Tracking and Support

Career Coaching: Maintain up-to-date records for the Career Coaching program (registrations, pairings with career coach, notes of sessions) and provide required administrative support

Manage Mentor: Provide student account management support

LinkedIn Learning: Provide student account management and maintain program records

Apprenticeship Pathway Programs: Track student enrollment and progression, apprenticeship placements, contacts and provide administrative support

SUMAC: Responsible for entering WF & ED data into CRM (information about program participants, event attendance)

Feedback: Manage the collection of program evaluation feedback for WF & ED programing, and review all feedback that is received

Marketing and Communication:

Support WF &ED marketing through distribution of flyers and posters

Create program registration (via Eventbrite) for all WF & ED events/programs

LinkedIn Account: Connect job seekers with our WF job seeker group on LinkedIn and facilitate job postings and matches

Draft monthly Economic Development Newsletter

Identify small business opportunities and programming

Respond to general email and phone inquiries about WF & ED programming Purchases and Invoices:

Create, track and follow up on invoices for and from contractors

Order catering for all WF & ED events

Process Pcard payments and track expenses

Basic Qualifications

1 or more years of relevant experience

Strong written and verbal communication skills and ability to communicate with a diverse population

Advanced competency in Microsoft Office Applications, particularly Outlook, Word, Excel, and PowerPoint, OneDrive and Google Drive/Google Apps; Skills testing may be a component of the interview process for this position.

Ability to pass a CORI/SORI check.

Physical ability to move and lift up to 25lbs. (i.e. tables, chairs, boxes).

The candidate should have superior organization skills to work on shared job responsibilities

Work hours may include earlier mornings, later evenings and weekends on occasion as needed.

Additional Qualifications and Skills

Prior experience with database systems such as Sumac, or the ability to learn such systems.

Prior knowledge/ability to learn online event management tools such as Eventbrite, and other web-based applications.

Highly organized self-starter.

This job operates in a professional office environment and requires the ability to use standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Ability to handle complex and confidential information with discretion.

Familiarity with Spanish, Portuguese, Cantonese, or Mandarin helpful.

Familiarity with the Allston-Brighton community helpful.

The ability to manage competing priorities in an environment with frequent interruptions.

Work Format Details

This is a hybrid position that is based in Massachusetts. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
