Position Summary

The Business Office Operations Manager provides office services by implementing administrative systems, procedures, and policies, and monitoring administrative projects.

Position Responsibilities

Maintains confidentiality of company information and establishes and maintains working relationships with employees in other departments.

Performs tasks with a substantial amount of interruptions throughout the day.

Greets staff, physicians, Board members, visitors, etc. in a courteous and professional manner and refers them to appropriate staff/department, as needed.

Schedules and organizes calendar for use of the Conference Room.

Serves as functional secretary for meetings. This includes prepare and distribution of meeting packets, transcribes, and distributes minutes, as necessary.

Take, transcribe, and distribute minutes for other assigned meetings and meeting notifications/scheduling.

Arrange and confirm meeting rooms for all meetings; coordinate refreshments as needed.

Assists in preparation of special projects, Board material, and other projects upon request.

Performs composition and typing of memos, correspondence, reports, contracts, and other legal documents/forms in a timely and accurate manner as needed.

Maintains organized files in hard copy and electronically for reference.

Maintains legal documents for easy accessibility to multiple drafts and final documents.

Processes incoming/outgoing mail for the site.

Offers suggestions to improve efficiency, improve workflow, etc.

Works collaboratively with the other staff to keep environment clean, neat and running efficiently including ordering/stocking supplies, delivering faxes, distributing mail and arranging for Administration coverage.

Maintains list/file of contracts and contracted services. Keeps a ‘tickler file’ for renewal and notifies appropriate staff when renewal time is due.

Assists various department managers by processing meeting minutes and making meeting arrangements.

Serves as a resource for general administrative questions.

Maintains and manages Administration workflow through organizing and communication.

Provides support to other areas as needed.

Provides phone support, fielding questions and directing customers to the appropriate areas of the organization.

Maintains Administrative supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.

Completes operational requirements by scheduling and assigning administrative projects: expediting work results.

Contributes to team effort by accomplishing related results as needed.

Hiring and training of office staff

Managing non-clinical office personnel

Addressing staff issues and conducting regular performance reviews

Planning, implementing, and overseeing business office policies and procedures

Supervising the patient registration process

Supervising the medical records process

Supervising the patient scheduling process

Reviewing accounts receivable to ensure accounts are being worked in a timely and effective manner

Supervising the charge capture process and ensuring errors or missing charges are resolved on a daily basis

All other duties as assigned.
