As they continue to expand and evolve, they are seeking an exceptional Executive Assistant to support the CEO/Entrepreneur in navigating the complexities of his fast-paced environment and work schedule.

The Executive Assistant to the CEO/Entrepreneur will play a crucial role in ensuring the smooth and efficient operation of the executive office. This individual will be the right hand to the CEO, providing proactive support in both professional and personal capacities. The ideal candidate is highly organized, resourceful, and possesses exceptional communication skills. They must be able to anticipate needs, exercise sound judgment, and handle confidential information with the utmost discretion.

Executive Assistant Key Responsibilities:

Calendar Management: Manage the CEO/Entrepreneur's calendar, including scheduling meetings, coordinating appointments, and prioritizing conflicting demands. Monitor and respond to emails on behalf of the CEO/Entrepreneur, ensuring timely and appropriate communication.

Travel Coordination: Arrange complex travel itineraries, including flights, accommodations, ground transportation, and visa processing. Anticipate travel needs and proactively address any potential issues or changes.

Meeting Preparation: Prepare agendas, presentations, and other materials for meetings, ensuring that the CEO/Entrepreneur is well-informed and adequately prepared. Attend meetings as needed, take minutes, and follow up on action items.

Administrative Support: Handle administrative tasks such as expense management, invoice processing, filing, and document organization. Maintain accurate records and databases to facilitate efficient workflow.

Project Assistance: Provide project support to the CEO/Entrepreneur, including research, data analysis, and coordination with internal and external stakeholders. Assist in the execution of strategic initiatives and special projects as required.

Communication Liaison: Serve as the primary point of contact for internal and external stakeholders, representing the CEO/Entrepreneur with professionalism and diplomacy. Screen and prioritize incoming communications, redirecting as appropriate.

Personal Assistance: Provide personal support to the CEO/Entrepreneur as needed, including managing personal appointments, coordinating family events, and handling household tasks.

Qualifications:

Bachelor's degree in Business Administration, Management, or related field preferred.

Proven experience as an Executive Assistant or similar role supporting C-level executives.

Excellent organizational and time-management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.

Strong attention to detail and accuracy, with a focus on maintaining confidentiality and discretion.

Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.

Exceptional communication and interpersonal skills, with the ability to interact effectively with individuals at all levels and various personalities.

Resourcefulness, adaptability, and a proactive approach to problem-solving.

Ability to remain calm under pressure and handle multiple tasks simultaneously.

Flexibility to work outside regular business hours and accommodate last-minute changes to schedules or travel plans.

Able to travel to other office locations in Vancouver as required.

Benefits:

The discussed salary range is $85,000 - $100,000.

Candidates with additional experience and higher compensation expectations may also be considered.
