Our partners at Seattle Foundation are thrilled to find a passionate and dedicated Operations Manager who will play a crucial role as the main contact person for the Finance and Operations (F&O) Department. In this position, you will be responsible for overseeing and improving various essential systems and processes that are critical to the success of our organization.

Position Highlights

Salary: Hiring Range - $88,000 - $90,000 Annually; Full Range - $67,608 to $108,172

The Operations Manager serves as the primary liaison within the Finance and Operations (F&O) Department for systems and processes. The Operations Manager reviews processes on an ongoing basis, suggests improvements, efficiencies, and streamlines cyclical tasks within the F&O team, and supports the improvement of F&O information communication across teams. The Operations Manager will spend approximately one third of their time supporting cross-team operations work, as supervised by the Director of Foundation Operations.

The Operations Manager will also serve as the right-hand person to the Chief Financial Officer (CFO), providing overall administrative support. The Operations Manager interacts with board members and provides staffing support to the Finance, Investment and Audit committees. This position routinely handles confidential and time-sensitive materials and other information.Primary Responsibilities:

F&O Department Responsibilities:

Owns and drives internal F&O team planning, project management, process development, and documentation

Work with team leadership to strengthen team culture and cohesion. Lead, coordinate, and facilitate internal communications and team activities including team meetings, retreats, and trainings

Collaborate with HR to manage hiring processes and onboarding of new F&O staff

Provide training and technical support on organizational tools to team members

Provides executive level administrative support for CFO including calendar scheduling, travel arrangements, meeting set-up and preparation and appropriate follow-up

Cross-Team Responsibilities

Work with cross-team operations staff in support of organization-wide planning, process documentation and implementation, project and budget management, and day-to-day operations

In 2024, support organization rollout and team training for new IT system (Microsoft Dynamics 365)

Build and maintain reports and dashboards in support of team and organization-wide needs. Complete routine data entry and data cleanup tasks

Serve as backup to other operations-focused roles across the organization

Requirements

Three to five years of experience in program or project management and experience managing budgets

BA in Business Administration, Finance, Accounting or equivalent experience

Ability to evaluate situations and apply judgment and critical thinking

Ability to prioritize work and decisions in an ambiguous environment

Effective communicator with experience informing and persuading others, and facilitating organizational change (ability to influence without authority)

Effective verbal and written skills including editing and formatting skills; attention to detail

Ability to manage work including coordinating multiple projects with disparate aspects and competing deadlines

Ability to successfully work with a diverse range of people; inside and outside the organization

Ability to attend and participate in activities outside core business hours

Experience working with Nonprofit Boards of Trustees

Benefits

Hiring Range - $88,000 - $90,000 Annually; Full Range - $67,608 to $108,172
