Summary:

Performs a variety of complex administrative functions for all levels of management including external business partners. Manages schedule(s), coordinates travel arrangements and processes business expenses. Coordinates meetings and events, department financial operations, personnel operations, and facility operations. Manages procurement of goods and services including computer equipment, office supplies, reference materials, and vendor relationships. Provides general office support. Serves as the department/group contact. Completes special projects as assigned.

Responsabilities:

Sourcing and building of materials for data centers as well as cloud logistics and supply chain management.

Contribute to calendar support for 2 General Manager level executives, as well as end to end team support for both of their teams (around 130 members).

Be part of a larger administrative team in the office, but will be the sole on-site admin for the cloud supply chain team in the Austin, Texas office.

provide onsite support as needed for events and leadership team meetings, including watch parties for team events, team town halls (booking rooms, coordinating snacks, A/V support if needed), some offsites such as happy hours, and morale events around the city.

This position will provide some event support but will be part of a larger team that will take care of most event funding & planning.

Typical task breakdown and operating rhythm: The role will consist of 40% calendar management, and 60% admin tasks as requested: Admin tasks include everything above as well as vendor onboarding and offboarding, updating details (reporting managers, etc.), basic teams support (getting refurbished laptops, peripherals to team members, facility requests, etc.), calendar management for two GM’s, and in office duties (space management, office events, etc.).

Requirements

Years of Experience Required: 2-4 overall years of experience in the field.

. Minimum 2+ years of Calendar Support Experience, Minimum 2+ years of Outlook experience and Excel experience (basic/intermediate knowledge required, including pivot tables)
