This is a varied role spanning day to day operational activities and project management – no two days are the same. Acting as a conduit between Operations and internal stakeholders, you will be responsible for managing various projects and initiatives, whilst collaborating with colleagues across Julius Baer to achieve the Bank’s goals.

The role is varied and demands first class interpersonal and organisational skills with the ability to manage competing priorities.

• To assist the Guernsey COO Department in overseeing and providing general management support to the business, with specific responsibility for run the bank (RTB) & change the bank (CTB) activities.

• Engaging in the day-to-day operational activities alongside the team to ensure smooth and efficient business operations.

• Represent the Guernsey COO Division in various internal and external forums as necessary.

• Participate in Branch committees & sub-committees as appropriate.

YOUR CHALLENGE

Participate in any key Group objectives / initiatives.

Maintain close collaboration between Guernsey and key internal stakeholders, such as sub-region UK, with specific reference to overall service standards.

Assist with the management of staffing resource needs.

Ensure internal / external compliance for key COO activities.

Proactively identify and address risk areas in conjunction with stakeholders.

Work with key stakeholders in enablement and application of process change and efficiency gains.

Liaising between different departments to facilitate communication & coordination.

Take ownership on projects and tasks as necessary.

Collation, management, and oversight of key internal and external documents, ensuring appropriate oversight of deficiencies.

Management of the authorised signatory list.

Full life cycle (onboarding, review and offboarding) of employee systems access rights.

Management of employee traveller system profiles.

Oversight and maintenance of the Contract Management Database, ensuring all internal and external contracts are signed, recorded, and maintained accurately.

Provide support to the Head of Operational Support with the management and oversight of the outsourcing process.

Consolidation, collation & distribution of reporting materials to various stakeholders.

Contributing to budget discussions & managing financial priorities within the Branch.

Working across various teams to support & facilitate delivery of their remit.

Oversight, facilitation & distribution of tasks & actions resulting from regulatory and internal compliance requirements, e.g., Client Reviews, Documentation Deficiencies etc.

Adherence to & maintenance of internal governance structures.

Presentation & communication of key deliverables to internal stakeholders.

YOUR PROFILE

Personal and Social

Good interpersonal and communicative skills with the confidence to establish relationships with teams across Julius Baer.

Client focused and results driven.

Excellent organisational and prioritisation skills

Professional and Technical

At least 2 years relevant experience in a financial services or operational role, however, graduates with a relevant finance or business related degree will be considered

Computer literacy – good knowledge of Word, Excel, Outlook / Lotus Notes plus all Julius Baer platforms.

Solid understanding of operational processes and inter-departmental workflows is desirable.

Involvement, or experience of, project work during career is desirable.
