The Sales Administrative Assistant is responsible for the preparation of sales requirements and providing support for daily sales activities. The individual also performs clerical tasks, keeps sales records, and execute other tasks critical to sales operations.
SALES MANAGEMENT
Monitors weekly sales plan of each sales executive.
Monitors and consolidates the reports and documents of each sales executive.
Follow ups status of each accounts of each sales executive.
Set-up / follow ups meetings with the customers and internal proponents and prepare the agenda.
Prepares minutes of the meeting for proper documentations.
Assists in preparation of bid documents for bid submissions.
Informs the VP for Commercial, Logistics and Purchasing regarding bid documents.
Disseminates the copies to the personnel involved in the bid.
Assists in the completion of all the document request on each Unit/Department as part of the bidding requirements.
Assists in preparation of letters, communications and others that maybe needed.
Assists the Sales Account Manager in routing/sending the physical copy of documents from one department to another or to external parties, client and vendor partners.
Prepares JO, CA, Liquidation and other required sales documents.
Maintains records and filing system for accounts of the team.
Updates trackers and reports as necessary.
Monitors and ensures that each Sales Account Managers submit weekly reports. Collect, file and encode it on the masterfile.
Act as the records safe keeper of the Unit/Department.
Assists in doing cold calling with the clients.
Researches and looks for possible opportunities and endorse it to the Sales Account Manager who can handle it.
Supports also on sales saturation whenever requested.
QUALIFICATIONS
Bachelor’s Degree in Business Management or any course related
Fresh graduate or with at least 1 year of experience in related field
Advanced computer skills
With excellent listening and communication skills
