Assistant Meeting Planner

UNITE HERE

Department: Secretary-Treasurer

Location: Washington, DC; New York City; or near a US-based local office

Bargaining Unit: None

Reports to: Meetings Team Lead

Summary:

As an Assistant Meeting Planner, you will work collaboratively with the Meetings & Travel Team to plan and execute meetings and events that support worker organizing at the direction of the International Union President and Secretary-Treasurer. You will join a dedicated and inspiring team of administrative professionals that proudly advances UNITE HERE’s goals on behalf of hospitality workers in the United States and Canada.

As a Meetings Team Assistant Planner, you will:

· Field requests from UNITE HERE leadership for meetings and events.

· Work with the Meetings & Travel team to create requests for proposals, review contracts, and ensure general best practices of meeting and event planning.

· Assist with worker actions and other event logistics.

· Draft communications about events and travel.

· Oversee invoice processing for meeting and travel related expenditures, maintain a budget, and ensure fiscal responsibility, including actively monitoring and recommending opportunities for cost-savings.

· Learn, comply with, and provide leadership on all internal UNITE HERE policies and external regulations.

· Work with UNITE HERE Customer Organizing team to maintain network of customers and meeting planners through the Fair Hotel campaign.

· Travel occasionally.

· Perform other duties as determined by Meetings Team Lead and UNITE HERE leadership.

Qualifications:

· 2-3 years of experience in meetings, travel, and event planning

· Proven proficiency in the following areas:

Microsoft applications (managing spreadsheets, creating charts, and using advanced formulas)

C-vent and Egencia preferred

· Excellent analytical skills to manage large amounts of data and reports

· Team collaboration skills

· Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail

· Excellent verbal and written communication skills

Salary: $56,000-$60,000. The salary offered will be commensurate with experience.

Please note: Typically, the top part of the salary range is intended for candidates possessing the listed qualifications and years of experience. Candidates who do not meet all of the qualifications and years of experience will typically be offered the lower part of the range.

Benefits: UNITE HERE offers a comprehensive benefits package (valued at $46,400 for family coverage) and employee pays 0$ in premium. Benefits include family medical, dental, vision and prescription coverage, retirement funds (401k and defined benefit pension), and generous paid time off.
