Description:
Under the general direction of the Maintenance Manager, the facilities administrative assistant helps by providing administrative support and assistance to managing the day-to-day operations of the Maintenance Department in accordance with The Joint Commission, federal, state, and local guidelines, organizational and departmental policies and procedures.
STANDARDS OF PERFORMANCE
Schedule and coordinate the Maintenance Team to complete the preventive maintenance of the building and grounds on a timely basis.
Review work order priorities on a daily basis and ensure that they are serviced each day.
Distribute and maintain Helpdesk requests throughout each day, working closely with EHS staff for services needed to upkeep the property and building.
Performs various administrative duties which include filing, copying, faxing, etc.
Greet all visitors professionally and kindly and direct all vendors/visitors and staff to schedule or perform work.
Serve as a primary point of contact for all facility-related matters.
Maintain orders, distribute, and monitor all office supplies within budget.
Maintain a periodic log of general and preventative maintenance activities performed.
Assist in scheduling of tests and inspections.
Type reports and minutes as needed and Maintain minutes for all meetings.
Plan, schedule, and coordinate meetings.
Maintain a departmental calendar of events.
Fill out and deliver purchase requisitions to material Management.
Enter and monitor performance improvement data.
Maintain inventories of supplies (cleaning supplies, light bulbs, moving boxes, excess furniture, pantry stock, etc.).
Assists Facilities Supervisor and Mailroom Associates with ongoing activities such as picking up and delivering mail, arranging messenger pickups, FedEx/UPS/USPS, distribution and processing
Perform other duties as assigned.
Requirements:
Minimum Level of Education: Education level equivalent to completion high school.
Formal Training: General Maintenance training is preferred.
Licensure, Certification, Registration: Must have a current Georgia State Drivers License
Work Experience: 3 to 5 years experience working in an office environment as an Administrative Assistant, Secretary, and or Clerical role preferred
