About the Position:
We are seeking a Dispatch/Customer Service Representative to effectively and efficiently organize, coordinate and manage our field operations and procedures in a busy, service-based office. The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be exceedingly organized, flexible and enjoy the administrative challenges of supporting a diverse staff. Prior experience in service-based industries preferred.
Job Responsibilities
Coordinate and schedule customer appointments
Schedule & dispatch field crews
Provide outstanding customer service through coordinating property losses, follow ups, estimates and reputation management
Oversee the accuracy of our service appointment paperwork and add detailed notes to job management software (CRM)
Follow up with customers on their experience; problem solve and coordinate any efforts to resolve issues
Follow up with potential clients and close estimates that have been submitted
Assist with customer invoicing and coordinating with insurance adjusters for approvals
Work with HR and Ownership to maintain organization of office operations and procedures and enforce office policies as necessary
Coordinate with IT department to ensure all office and field technology is working
Manage relationships with vendors and service providers (fleet maintenance & jobsite sub contractors)
Manage contracts and price negotiations with vendors, service providers and customers.
Assist with inventory control and audits
Assist with managing office G&A budget, ensure accurate and timely reporting
Provide general support and a welcoming presence to visitors
Assist in staff rotating on-call responsibilities
Requirements
5 years proven management skills (Leadership)
5 years customer service skills
Ability to follow office management systems and procedures
Excellent time management skills and ability to multi-task and prioritize work, especially in high-intensity situations
Attention to detail and problem solving skills (critical thinking)
Excellent written and verbal communication skills; bilingual (Spanish) a plus
Empathetic yet professional demeanor
Strong organizational and planning skills
Proficiency in MS Office Suite, QuickBooks, Google Suite, CRMs (Xactimate is a plus!)
