EPSG is seeking a dedicated Executive Assistant with a passion for excellence to streamline and enhance the day-to-day functions that support our CTO/COO and CEO. The role will ensure timely communications and efficient operations. The position is based at our headquarters in Melville, NY.

YOUR KEY RESPONSIBILITIES

Efficiently handle and manage executives' schedules, coordinate meetings, and ensure no scheduling conflicts.

Monitor, sort, and prioritize incoming emails for executives.

Create, edit, and format documents and presentations using Microsoft 365 applications.

Plan, organize, and facilitate meetings including setting up video conferencing through Microsoft Teams.

Maintain an organized system of electronic files using OneDrive and SharePoint.

Act as a point of contact between executives and employees or external partners.

Plan and book executive travel, considering preferences and schedules.

Create expense reports and interface with finance.

Assist in organizing company events and functions.

Handle sensitive information with discretion and confidentiality.

Provide general support like answering phones, filing, and other administrative tasks.

QUALITIES AND QUALIFICATIONS WE LOOK FOR

Previous experience in an administrative or executive support role.

Excellent written and verbal communication abilities.

Ability to handle confidential information with integrity and discretion.

Proficiency in using Microsoft Office 365 applications including Outlook, Teams, Word, Excel, PowerPoint, OneDrive, and SharePoint.

Strong ability to multitask and stay organized in a fast-paced environment.

Ability to prioritize and complete tasks efficiently.

Detail oriented with a focus on quality.

Ability to identify and resolve problems in a timely manner.

Work effectively with others, exhibiting a cooperative and friendly disposition.

Ability to anticipate needs and act without always being directed.
