GENERAL POSITION SUMMARY

This position is responsible for performing a range of administrative and basic accounting functions and for offering various bi-lingual support to Management and Japanese visitors (bi-lingual not essential).

ESSENTIAL JOB FUNCTIONS

Provides Administrative Support including IT Support for the company.

Provides administrative support to President, General Manager and Project Managers;

Manages the writing and distributing documents and other correspondence (to contractors, vendors, internally, etc);

Distributes the mail and faxes when necessary; \

Accurately files and maintains documents;

Maintaining and modifying data;

Orders and maintains office supplies and equipment;

Researches, communicates and negotiates with vendors for best prices;

Plans office activities and events;;

Assists with IT security maintenance and computer maintenance and documentation as needed for the company and by assisting Management on other administrative fu

Provides General Accounting Support for the company

Supports the preparation of monthly reports for all ongoing projects based on work in progress cost percentage basis by means of QuickBooks and excel; and

Supports management with entry to Accounts Payable and Accounts Receivable in QuickBooks.

Support Management and Japanese Visitors with Various Arrangements.

Provides translation support;

Coordinates travel arrangements (hotel, rental car and flight reservations, etc);

Researches and negotiates various travel related services (i.e. corporate rates for hotels, insurance for cars, etc);

Arranges for apartments, car leases, etc. for longer term visitors;

Advises visitors on various local issues and problems; and by recommending local places to visitors for business and personal needs

EDUCATION

Associate degree or equivalent and/or two to four years related experience or equivalent combination and experience.
