Position: Payroll & Human Resources Administrator

Location: San Antonio, TX; in-office

Hours: Monday – Friday; some travel required

Pay: $50,000 - $55,000; hourly; Depending on experience

Department: Employee Services

Summary

This position is responsible for daily administration of all Payroll functions and employee benefit enrollments and billing. This position will conduct onboarding, create and secure employee records and be the first point of contact for 401k questions. The Payroll & HR Specialist will act as the back-up for HR Leadership in recruitment, performance reviews, and other employee relations. This position will also handle projects as assigned or needed for the Finance Department.

This position routinely handles highly confidential information, must be highly organized, and have extreme attention to detail. Incumbents must also manage ambitious time constraints, conflicting priorities, and personal interactions which may become confrontational and unpleasant. Contacts are internal and external and include job candidates, employees at all levels of the organization, outside vendors, consultants, and the public at large.

Responsibilities

Administer all aspects of payroll processes utilizing ADP Workforce Now. Including payroll taxes, compliance with state and federal tax and wage and hour laws, auditing payroll with detailed documentation and ensuring proper authorization and timely processing of payroll transactions, ensure accurate and timely generation of W-2 and 1095-C forms at year end.

Provide technical assistance to employees, including answering payroll and benefits questions and resolves any issues or errors.

Prepare Payroll GL and monthly journal entries including FSA, Worker’s Compensation, tax notices, and other fees. Reconcile payroll, 401k, FSA, and Vacation Liability, general ledger accounts monthly.

Organize, write, and maintain procedures for all payroll processes in a logical and methodical manner.

Ensure maintenance, organization and retention of payroll records. Protect and maintain the confidentiality and security of all records.

Administers the 401k plan including monitoring employee eligibility for participation. Distributes all required communication and correspondence as needed. Monitors processes of the 3rd party service provider. Leads the 401k audit.

Initiates required new hire paperwork and onboarding activities, including I-9 administration.

Responds to unemployment claims and can represent the organization at hearings when necessary.

Administers and communicates benefits plans including verifying eligibility status, change reporting, open enrollment, and approving invoices for payment. Conducts new employee orientations to ensure employees gain an understanding of benefits. Administers COBRA.

Maintains, monitors, and reports all Employee Leave (including FMLA and Worker’s Compensation) and follows-up on all active cases, as needed. Completes Worker’s Compensation Audit and verifies results for accuracy. Maintains and monitors any confidential employee disability case files.

Perform other related duties as assigned. Attends meetings, other conventions and trade shows as appropriate to maintain professional contacts and/or represent SCI and SCIF.

Work Location and Travel Requirements

This position is full-time in the office. Travel is required to SCI’s annual convention and may be required for various other events put on by or of interest to SCI.

Skills and Abilities

Proven problem solving skills

Proficient with Microsoft Office Suite software, to include OneDrive, SharePoint, Teams with an ability to become familiar with SCI-specific programs and software.

Demonstrated excellence in verbal and written communication skills, interpersonal and customer service skills, organizational skills and attention to detail.

Motivation and strong desire to take on new challenges and learn as much as possible

Excellent time management skills with a proven ability to meet deadlines.

Ability to adapt to the needs of the organization and employees.

Qualifications and Education

The position requires a Bachelor’s Degree in a Business related field, or equivalent work experience

2 years of experience in Payroll and Human Resources.

Experience with ADP strongly preferred

PHR or SHRM certification preferred

Valid driver’s license with ability to be insurable on SCI policy
