We are currently looking for someone to join our corporate team as a Coordinator Digital Health and Proposal Management. The role is hybrid and has flexibility to work both remotely and within Waterloo, ON office.

Provides administrative support to the digital health project lead and supports management of the proposal process for business development. Responsible for performing administrative tasks, communicating with stakeholders, and ensuring resource availability.

What The Role Involves

Support project team(s) and proposal team(s) to adhere to provided timelines and deliverables.

Ensure documentation is maintained and appropriately filed throughout the length of the project / proposal development.

Assist the project lead / proposal lead with administrative functions and processes.

Monitor the RFP websites, forward potential RFPs to proposal team for consideration, contact vendors for clarification, draft bid documents, keep track of all progress made on RFPs / new business opportunities, and prepare tracking reports monthly.

Set up project / proposal folders with appropriate folder structure and documentation, and support completion of documentation throughout the projects / proposal development.

Seek updates monthly for all projects being tracked for distribution to senior leadership.

Develop presentations and briefing notes to support project and status updates.

Book meetings and necessary rooms in a planned and organized manner and share the booking details and materials with all the invitees.

Support efficient running of the project management office.

Other duties as assigned.

What You Bring

Strong proficiency in all aspects of Microsoft office, with proven skills in Word, Excel, and PowerPoint

Strong written communication skills

Strong organization, communication and problem-solving skills

Demonstrated knowledge of project management tools, techniques, and methodologies

PMP Certification in progress or experience in a project environment an asset

Health Care industry experience an asset • Proficiency in French is considered an asset
