Executive Assistant (15-month contract)
Location: 530 West Broadway, Vancouver BC, Canada
Core hours: Monday to Friday from 8am – 4:30pm PST
This position is required to be onsite 5 days a week.
Role Summary
As the Executive Assistant, you will partner directly with the Senior Executive Assistant to support the Executive Team. You will help to ensure the completion of key deliverables, execution of company events, and other strategic projects, as needed. You will report to the Senior Executive Assistant.

Responsibilities
Assist the Senior Executive Assistant to track and help drive the completion of key deliverables
Understand the continuously changing priorities of the Executive Team
Assist with complex scheduling and calendar management for Executive Team
Assist with coordinating travel logistics and expense reconciliation and reimbursements
Provide administrative and office support, such as accurate notetaking, spreadsheet & PowerPoint creation
Exercise considerable judgment, tact, and discretion in preparing, disclosing, and handling information of a confidential and/or sensitive nature
Handle occasional personal arrangements and errands for Executive Team
Complete other strategic projects as needed
Assist in event planning and communication of companywide events
Assist in project management of large events, including the Annual Business Conference
Support the coordination of conferences and events by securing meeting locations, hotel contracts, catering and A/V requirements
Assist with collating RSVP lists, communicating with event venues, and providing on-site support
Qualifications
3-5 years in an administrative role
2+ years supporting senior leadership or Executive teams
College diploma or degree in Business Administration or equivalent combination of training and experience
Experience with calendar management & scheduling
Excellent verbal communication and interpersonal skills
Exceptional written communication skills and knowledge of business English, spelling, punctuation, and communications
Strong time-management and prioritization skills
Exceptional attention to detail
Ability to exercise diplomacy and discretion and to handle highly confidential information appropriately
Excellent computer and typing skills, including MS Office (especially MS PowerPoint, Excel, Outlook, Word and minute-taking)
Experience with Asana an asset
