In this role, you will report directly to the Managing Director for Levi’s Canada, performing all of the managerial duties and tasks pertaining to Office Management and Executive Assistance.

This role is a hybrid position with a requirement to work in our Toronto office Tuesday through Thursday.

About the Job

Executive Assistance:

Manages the Managing Director, Levi’s Canada’s schedule including Outlook Calendar, and plans and coordinates travel, including hotel and airfare etc.

Travel expert for Canada and partners with Executive Assistants globally in preparation of local market visits including accommodations, travel, dining reservations, and meeting spaces

Prepare expense reports promptly and accurately, educate new employees on travel and expense management (Concur)

Support Leadership team meeting coordination, on and off site, from agenda and location through to minutes and follow up

Coordinate ad hoc events, meetings and market visits with supporting materials (documents, presentation etc)

General Invoicing:

Set up Purchase Orders and new vendors in Tradeshift

Ensure timely payment of all invoices

Investigate and resolve invoice and payment discrepancies

Office Management:

Represent Levi Strauss (Canada) & Co as main point of contact for all office-related inquiries, including liaising with Facilities Management, & Shipping and Receiving (UPS, Fedex etc)

Partners with Facilities management to ensure tenant needs are escalated and resolved

Liaise with outside vendors such as cleaning services to ensure office is kept in clean and orderly condition

Coordinate meetings including arrangements for facilities, logistics, and other accommodations; communicate arrangements to executive and other participants

Support company engagement, culture, and community events and activities, including being a member of the Brand Ambassador Committee

Maintain and replenish print, stationary, mailroom, and cafeteria supplies

Partner with IT to ensure all technology is maintained in working order throughout meeting spaces and workstations

Manage local and off-site storage programs, including records management and archiving, as well as customer product samples

Communications

Manage email distribution lists of active and inactive employees

Draft and circulate updates and notification regarding office logistics (eg. elevator access, active repair & maintenance work, emergency response protocol testing

Supports HR in the communication, coordination, and celebration of employee milestone moments, including service awards and promotions

Coordinates monthly Town Halls, and partners with Managing Director on Leadership communications and events such as Town Halls, Coffee Chats, and monthly Leadership news publications
