A primary focus of this role is to manage the grants and contract portfolio of CW, which includes service contracts, cooperative agreements, grants, foundation funding, and internal funding from a number of sponsors. Project management and time-management skills are essential to the success of this position. Financial management experience, especially in sponsored projects, with a human services background is strongly preferred.

Responsibilities:

Oversees the grants and service contracts portfolio of CW to ensure compliance with sponsor requirements, including reviewing supply/equipment orders to ensure costs are allowable, tracking supply purchases, managing time and effort of grant funded staff.

Works with the Research Institute and the Foundation to prepare budgets to support grants and service contracts and subcontracts, manages budget requests from sponsors, provides timely responses, and demonstrates high level of organization in documenting submission materials.

Assists RI and CW Business Office Coordinator to manage invoicing for agreements (e.g., grants and contracts, as required).

Participates on conference calls with the sponsors project officers/sponsors and investigators to clarify protocol or project requirements, as needed to create budgets, task orders, or initiate agreement modifications.

Assists RI and CW Business Office Coordinator to manage invoicing for agreements (e.g., grants and contracts, as required).

Works with CW Principal Investiators to prepare budgets and make recommendations on staffing or infrastructure based on available funding. Collaborates with Finance and Sponsored Projects to oversee the financial portfolio and monitor expenditures.

Coordinates completion of progress reports for sponsors, and project manages annual progress reports, working closely with other staff to compile data and update information.

Serves as a project manager for large funding submissions and assists with narrative development as appropriate.

Participates in CW Strategic Planning and departmental goal-setting, in collaboration with the PIs, and senior leaders.

Tracks CW scientific contributions, grant awards and progress towards large goals, such as CW strategic plan, to include in annual reports and to inform staff.

Consistently pursues opportunities for continuous improvement. Leads and/or contributes to process development and improvement projects within the department, especially relating to financial management, resource management/allocation, etc. Attends, if necessary, sponsor group meetings, teleconferences, and other biorepository-related meetings, acting as a representative of CW.

Communicates respectfully with coworkers, staff, patients, parents and clients. Continuously strives to provide customer service in an efficient and effective manner to ensure customer satisfaction. Actively promotes a cohesive, positive, and team-oriented work environment and possess a solution-driven mentality.

Attends continuing education seminars, workshops and group meetings relevant to CW

Performs other related duties as assigned or required.

Qualifications:

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED

Master’s degree in Business Administration, Hospital/Health Administration, or a scientific/human services field, with at least three years of relevant experience, OR Bachelor’s degree in a related field with a minimum of 5-7 years of experience with a background in human services financial management, is required.

Experience in securing and managing federal and state grant awards is preferred.

Strong written and verbal communication skills, as well as excellent interpersonal skills, are required

Ability to manage a diverse and demanding workload independently; self-motivated.

Organization and time management/prioritization skills with the ability to work independently and coordinate a team to ensure deadlines are met.

Good analytical skills, and attention to minute detail; objectivity; ability to extrapolate requirements to various situations; demonstrated problem-solving skills.

Experience with community grants, grant writing, preparation, organization, and submissions required.

MINIMUM PHYSICAL REQUIREMENTS Note frequency as Constantly (67-100%), Frequently (34-66%) and Occasionally (0-33%) for each requirement. Also note any lifting requirements with pound limit. Typing on computer – Constantly Using phone – Frequently Sitting – Constantly Standing – Frequently Lifting, Pushing, & Pulling up to 40 pounds – Occasionally Walking – Frequently Pressure in this position will vary depending on the workload. The workload will be heavy but manageable most of the time. Pressure may arise in the due to deadlines associated with grant proposals, or inspections.
