We are seeking a highly motivated, extremely organized Executive Assistant to support the Chief Financial Officer (CFO). The tempo of business in this role is both rapid and ever-changing. We are looking for an individual who can adapt to change quickly, actively anticipate needs, and navigate a complex calendar and schedule with flexibility, exacting accuracy, and emotional poise.

POSITION OVERVIEW

As the Executive Assistant to the CFO, we are looking for something with strong organization skills, extremely detail oriented and displays superior writing, communication and computer skills.

This role is for the team player who possesses a keen sense of awareness and is able to think on their feet in a fast-paced environment. You exude poise under pressure, and keep relationships at the forefront through graceful, thoughtful and intentional communication.

The right candidate for this role is:

· Highly skilled and professional with a passion and intrinsic gift for logistical administrative management.

· Impeccable expertise and aptitude for working with detailed-oriented tasks.

· Naturally organized and systemic; structured, self-directed, and who not only maintains systems with precision but also looks to create them for effectiveness and efficiency.

· An outstanding communicator - both orally and in the written word - capable of communicating clearly and effectively and looks to make others feel supported along the way.

· Proficient and speedy in typing and capturing notes, action items, and specific instructions, within virtual, Zoom, and telephone meetings.

RESPONSIBILITIES

Candidates will be expected to handle a wide range of duties, including but not limited to:

· Calendar Management: Organize and maintain complex calendars; prioritize and coordinate a high volume of ever-changing schedules and priorities.

· Event and Project Coordination: Coordinate the planning and tracking of both short- and long-term projects and events.

· Communication: Communicate on behalf of the CFO you support, including handling highly sensitive and confidential material both orally and in writing. Manage CFO inbox by organizing and prioritizing incoming communications. Ensure all communication is tracked and responded to in a timely manner.

· Virtual Office Administration: General support managing relationships with team members, vendors, service providers, etc.

· Problem Solving: Identifies and resolves problems in a timely manner; pragmatic and resourceful, thinks outside of the box to find unique solutions to unexpected challenges.

REQUIREMENTS

· 3+ years experience in an administrative role, preferably having supported Executive of C-Level Office

· Proficient in Microsoft Word, Excel, PowerPoint, Outlook and with Internet research & tools

· Tech-savvy and quick to pick up on new tools, software, platforms & systems.

· Strong at building rapport with all levels within the organization.

· Ability to apply discretion when handling confidential and sensitive information.

· Service and Mission oriented.

· Strong initiative, follow-through and able to anticipate needs.

· Self-directed/motivated.

· Consistent desire to go the extra mile and do more than what is asked, never less.

· A compassionate, caring individual who loves to work with a close-knit team.

· Available during the hours of 8:30am - 5:30pm PST with the ability to start earlier/stay later as needed. While this is a remote position working from your home, living in the San Diego area is preferred in the event in-person proximity to the CFO is necessary.
