Global financial services public relations firm is looking for a personable and professional Executive/Personal Assistant to support the CEO immediately. This is an incredible opportunity for someone who wants to be a true right hand and has a work hard, play hard mentality. The CEO needs someone who works well under pressure, but who is also professional and personable. The firm represents hundreds of well-known, mid-sized and entrepreneurial businesses and is committed to the success of each of their employees. This position requires 4 days on-site and traditional business hours from 8:30AM – 5:30PM but must be flexible with a 24/7 mentality.
The salary is up $130K - $160k + Bonus and medical benefits, and other perks.
Responsibilities:
Interact with clients, associates, and colleagues with the upmost professionalism
Responsible for heavy calendar and schedule management
Create detailed travel itineraries, including domestic and international travel, hotels, ground transportations, etc.
Function as the gate keeper to internal and external colleagues and clients
Being the point person for coordinating meetings and working with all internal team members
Prepare and organize decks for new business presentations and maintain legal documents
Ensure that expenses are properly allocated and submitted in timely manner
Working cross functionally with other team members and account leads to coordinate and streamline information and schedules
Personal Assistance to the CEO (+ her family) as per needed (ex: global travel arrangements, personal errands, ad hoc projects, etc.)
Required Qualifications:
Available to be in the office 4x a week and flexible to be in as per executives
Bachelor’s Degree
Administrative experience in Financial services a must
7+ years of administrative experience required
Familiarity working with global teams
Work independently and collaboratively
Proficient in PowerPoint, Outlook, Excel, and Word
Global travel management; Private aviation a plus
Working with the upmost confidentiality
Strong verbal, written and interpersonal skills
