Key Responsibilities:

- Welcome patients and visitors with exceptional customer service skills, employing effective verbal and written communication techniques that prioritize a patient-centered approach and embody the core values of primary care.

- Maintain a thorough understanding of the daily and weekly schedule, ensuring accuracy in provider assignments, appointment durations, patient insurance status, visit reasons, and types. Actively address any discrepancies identified during review, with minimal patient involvement.

- Gather all necessary registration and intake details from patients to facilitate a smooth check-in and check-out process. Validate and update insurance eligibility, benefits, and other pertinent information prior to appointments, accurately recording arrivals, cancellations, and no-shows in the electronic health record (EHR).

- Coordinate follow-up appointments, referrals, and additional tests as directed by providers in a prompt and precise manner. Secure prior authorizations and referrals for follow-up care when required by insurance plans.

- Coordinate surgical scheduling by organizing received requests and liaising with relevant parties using Epic. Provide patients with comprehensive instructions regarding pre- and post-operative care.

- Respond promptly to patient inquiries via telephone, aiming to resolve concerns during initial contact. Address patient portal messages and voicemails within 24 business hours.

- Collect all payments due at the time of service and manage past-due payments before appointments commence. Conduct daily reconciliation of the cash drawer within the EHR, ensuring adherence to cash handling protocols and offering guidance to colleagues on compliance.

- Educate patients on the benefits of utilizing the patient portal and assist them in signing up for access.

- Offer administrative support to physicians and managers as required, staying updated on organizational policies, including infection control and HIPAA regulations, as well as departmental procedures.

- Adhere to departmental standard operating policies and procedures, completing all mandatory Service Corp and departmental trainings successfully.

- Serve as a primary escalation point for complex cases or scheduling issues, utilizing organizational knowledge, experience, and critical thinking skills to facilitate resolution or escalate matters appropriately within the professional scope of practice.
