The Office Manager - Marketing Assistant (OMMA) works at the hub of all the activities that keep the day to day business functions running. Working closely with the Executive team, the OMMA is responsible for both project management and administration for Executive schedules and priorities, new client communication, marketing, IT and website vendors, purchasing and expenses, research projects, and written communication. This role balances many areas to be successful: warmth within guidelines; truth and kindness; time, quality and cost; and company and client needs with best practices.

This position is full-time, non-exempt, and mostly remote with meetings in the home office. Working hours occur Monday through Friday, 35 hours per week during the core hours of 8am-4pm CT.

ESSENTIAL RESPONSIBILITIES

Responsible to coordinate the daily business activities of Bright Path HR / Ministry HR Group, as directed by the Executive team

Executive Support

Project manage business operations, including Executive task prioritization and reminders

Coordinate schedules, conferences and light travel

Conduct research on relevant topics

Write correspondence, reports or other documents

Participate in meetings, document action items and provide follow up communication

Organize internal team meetings and communication as needed

Maintain internal records such as policies, procedures and documentation

Some Recruiting support as needed

Sales & Marketing

Manage weekly social media posts

Coordinate website vendor communication

Coordinate automated sales process workflow

Communicate with prospective clients

Draw up proposals, quotes and agreements from templates

Accounting

Provide purchasing research and administration

Coordinate expense reporting

Ensure Bookkeeper has required documentation

IT

Communicate with IT vendor to ensure employees have fully functioning hardware and software

Project manage internal efforts on IT projects such as software implementation

Collaborate with Consulting and Training and Development Teams as needed

Always be learning, innovating, creating, and reaching for new ways to engage people in our mission

Provide administrative support to Ministry HR Group team members

Other duties as assigned

SKILLS, KNOWLEDGE, AND ABILITIES

Willingness and ability to abide by national and state laws and guidelines

A minimum of 2 years of experience in Project Management

A minimum of 5 years of experience in administrative functions

A Bachelor’s degree in Business Management, or equivalent experience

Proven experience in collaborating with operational leaders

Proven ability to influence without authority

Strong attention to detail

Self-starter who can manage complex projects to completion for self and Executives

Excellent verbal and written communication skills and ability to proofread English at a high level

Proven ability to research, innovate and problem solve

High social intelligence and ability to resolve customer service issues

Ability to lead by example with positive and professional behavior in every situation

Ability to maintain strict confidentiality in sensitive situations

Intermediate to Advanced skills with MS Office and Google Suite

Must maintain a home address within in the state of Texas

COMPENSATION AND BENEFITS

Ministry HR Group and Bright Path HR is a start-up firm, looking to pay fair market value for qualified talent. We do not provide healthcare benefits at this time.
