Bookkeeping Clerk

II. Position Summary
Performs a range of clerical, accounting, bookkeeping and housekeeping support functions within our multi-company organization
III. Duties and Responsibilities
• Prepare, code and consolidate daily sales for various departments
• Prepare and submit customer invoices
• Code, post and receipt payments
• Prepare and coordinate deposit activities
• Prepare all necessary account, bank and other reconciliations
• Monitor customer accounts for nonpayment and other reconciliations
• Check, verify, code and process invoices
• Prepare payments for signatures
• Sort, code and enter accounts payable data
• Analyze discrepancies and unpaid invoices
• Maintain vendor files
• Collect, confirm and process time sheets
• Verify taxes and other deductions
• Prepare and distribute payroll checks
• Track employee vacation and sick time
• Source and order supplies
• perform his/her duties in a safety conscious manner that protects all employees and customers from injury and/or damage to property, both the companies and 3rd parties
• provide assistance to co-workers on an ongoing basis as and when required
• other duties as required
IV. Reporting Structure
• reports to Office Manager and Vice President
V. Knowledge, Skills, and Abilities
• Ability to work with colleagues in a co-operative manner
• Knowledge of accounting programs, Adagio preferred
• Proficiency with Microsoft Word, Excel & Outlook
• Driver’s License with a clean abstract
• Ability to deal with the public
• Must be physically capable of performing the duties and responsibilities as described
