Human Resources Assistant - Permanent Full-Time

The Human Resources Assistant is accountable for the administration of the day-to-day operations of the Human Resources department. The Human Resources Assistant implements, coordinates and delivers human resources functions, including but not limited to, recruitment and selection, labour relations support and the maintenance of employee files and human resources databases.

Responsibilities include:

Provides front line HR support for general walk in, telephone and email enquiries.

Provides a variety of confidential and time sensitive administrative duties, often within competing time frames.

Prepares reports from the HRIS as required for the proper administration and implementation of human resources programs and initiatives

Provides general administrative support to the team as requested

Coordinate and administer the Hospital’s General Orientation on a monthly basis

Act as back-up for Reception staff, as required

Prepares, posts and maintains job postings on internal and external recruitment sources.

Participates as a member of an interview panel, as required

On direction from the recruitment lead, will close the job posting file and ensure that the job posting tracking database is updated accordingly

Respond to employee benefit and compensation inquiries and ensure unresolved inquiries are escalated to the Manager, People & Culture for resolution

Completes data entry into Human Resources Information System (HRIS) as required and ensures strong data accuracy.

Enters and updates employee information in Benefit and Pension Systems as required.

Creates and maintains employee files and ensures all required information is appropriately stored in the employee’s file, that the files are stored and maintained in accordance with Hospital Policy.

Provide employees with general benefit information, benefit booklets, claim forms, and appropriate internal and external benefit contact information.

Provide employees with general compensation information and appropriately escalate employee compensation questions to the Manager, People & Culture for resolution.

The successful candidate will have the following qualifications/experience:

University Degree in Business/ Human Resources or other related field or successful completion of a Diploma in Human Resources filed strongly preferred.

Minimum one year working experience in Human Resources as a junior HR role preferred

Knowledge of QHR is considered an asset.

Excellent knowledge of Windows Operating System, Microsoft Word, Microsoft Excel, Microsoft PowerPoint, Microsoft Outlook.

Strong written and verbal communication skills.

Ability to work with private and confidential material.

Exceptional organizational and time management skills.

Demonstrated ability to exercise tact and discretion, along with good judgment and problem solving skills.
