We are seeking a highly organized and proactive Virtual Assistant to support our busy Managing Partner and Business Operations team with a broad range of administrative, operational, and project tasks. The ideal candidate will be a self-starter with excellent communication skills, capable of managing multiple priorities with high attention to detail. This role demands a high level of discretion, the ability to work independently in a fast-paced environment, and strong proficiency in Microsoft Office applications.
Key Responsibilities:
• Coordinate and schedule calls with vendors .
• Coordinate interview schedules, follow-ups, and updates to organizational charts.
• Manage calendar of new hire setups, training schedules, and ongoing training programs.
• Ensure regular manager/employee performance discussions are scheduled, and update performance management software accordingly.
• Design and oversee cross-training schedules.
• Assist with research as needed
• Pursue outstanding commissions through software, and compile commission reports.
• Calendar management: Oversee the Managing Partner’s calendar, including scheduling appointments, meetings, and personal commitments, sending reminders, and making adjustments as necessary.
• Help organize digital files, manage cloud storage solutions, and ensure easy access to critical documents.
• Assist with project oversight, coordinating with team members, keeping projects on track, and ensuring deadlines are met.
• Assist compiling and organizing metrics slides for team presentations, ensuring clear communication of business objectives and performance.
• Manage folder organization and document storage on platforms such as Dropbox and SharePoint, ensuring efficient access to information for the team.
