The Accounts Payable Specialist will be responsible for accounts payable, job costing, bank reconciliations, preparing 1099s, and assisting the Accounting Manager as needed with general ledger accounting tasks. The accounting assistant must be familiar with accounting procedures and should have experience with accounting software programs (ie. QuickBooks, Excel, PDF Expert, etc). Will at times assist with Accounts Receivable and deposits. The ideal candidate will be able to process high volumes of business transactions, handle accounts payable and receivable, expense reports, receipts, and other financial matters. Proven accounting experience required.
Duties and Responsibilities
Keeping financial records up-to-date following accounting best practices
Processing business transactions in a fast-paced environment
Maintaining accounts payable ledger and general ledger
Seek approval of vendor invoices for processing and payment
Posting customer payments, vendor checks, and ACH payments
Preparing, fulfilling, and distributing employee reimbursement checks
Monitoring vendor statements and researching/correcting issues
Process wire transfer and ACH requests, and other transactions
Assisting the accounting manager with audits, forecasts, and other fiscal planning as needed
Assisting in account analysis, job costing and account coding
Correcting and modifying inaccurate files and records
Reconciling credit card and bank statements and general ledger account balances
Process and respond to high volume of e-mails in a timely fashion daily
Assisting the Accounting Manager, General Manager, Operations, and others as needed
Filing, mailing, and other duties as needed
Accounting Assistant Requirements and Qualifications
Strong aptitude for numbers, spreadsheets, and financial reports
Excellent time management skills; able to prioritize and multitask
Ability to handle high volumes of daily transactions
Strong written and verbal communication skills
Accurate and precise attention to detail
Self-motivated and self-directed while also being a team player
Two to three years of proven accounting/bookkeeping experience (accounts payable preferred)
Excellent computer skills: experience with accounting software, Microsoft Office Suite, Outlook; experience with QuickBooks and Excel a must
Knowledge of bookkeeping and accounting best practices, laws, standards, and state/national regulations and Generally Accepted Accounting Principles (GAAP)
Associates or Bachelor of Arts degree in Accounting, Finance or Business with an emphasis in accounting preferred
