Overview:

Job Summary

The Medical Secretary/Transcriptionist provides support to the Pathology department, including answering telephones, typing/faxing pathology reports and other correspondence, preparing samples for send out testing, reviewing pathology charges, screening visitors and making appointments.

Responsibilities:

Key Responsibilities / Essential Functions

1. Greets visitors, answers phones promptly and courteously, handling questions when applicable or referring to appropriate person.

2. Proficient in the use of word processing and MedScribe dictation system pertinent to Pathology Department reporting and record keeping (i.e. surgical, bone marrow, flow cytometry, cytology, and quality assurance reports) completing work within established time frame with no more than 4 errors. In addition, assists with correspondence, minutes, memos, manuals and schedules as required. Types a minimum of 700 lines per shift.

3. Verifies accuracy of each report before issuing final report to nursing units and/or physicians.

4. Insures that all charges and credits have been issued daily. No more than 3 errors.

5. Maintains all required record keeping, including retrieval flags, referral cases, interdepartmental consults and extra-departmental consults, with no errors or complaints.

6. Performs send out procedures as necessary including all documentation and handling of patient material.

7. Recognizes when problems exist relating to specimen collection/processing/reporting and refers problems to appropriate personnel. No complaints or errors.

8. Verifies the accurate identification and acceptability of specimens. No identification or specimen acceptability errors.

9. Participates in achieving budgetary goals by using supplies, instruments, etc in cost effective manner.

10. Completes and documents continuing education; attends 75% of mandatory staff meetings; completes annual competency with 90% accuracy.

11. Uses HIS system to register patients and retrieve patient information for referral cases.

12. Participates in department Quality Improvement initiatives.

13. Adheres to department safety policies.

14. Retrieves slides, reports etc. necessary for referrals.

15. Files reports, slides etc. as necessary.

Qualifications:

Minimum Knowledge, Skills, Experience Required

Education

High School diploma or GED. Additional education from an accredited college or university strongly preferred.

Experience

Minimum of one-year medical experience preferred.

Additional Skills/Abilities

Must have excellent communication skills with the ability to work in a fast paced environment, requiring prioritizing and changing tasks frequently and quickly. Must be able to maintain absolute confidentiality in the handling of patient information. Absolute integrity and accuracy in the identification and reporting of number and names. Must be proficient in use of computer and word processing skills. Must be able to type 50-60 words per minute and be able to type from a dictation.
