We are seeking a highly skilled Administrative Executive Assistant in support of the National Health Institute (NIH). The ideal candidate is organized, efficient, and skilled at managing administrative tasks that contribute to the smooth operation of our office. As an integral part of our team, you will play a crucial role in supporting the program management aspects of the Business Transformation Office (BTO). You will be following up on tracker information, generating slides to support the Division Chief, creating spreadsheets as needed, etc. Must be comfortable with Power Point, Excell, and SharePoint.

Key Responsibilities:

Provide comprehensive administrative support to executives, managers, and team members.

Manage calendars, schedule appointments, and coordinate meetings.

Prepare and edit documents, presentations, and reports, ensuring accuracy and professionalism.

Maintain organized records and files, both electronic and physical, to ensure easy retrieval and compliance.

Assist with event planning, including coordinating logistics, managing invitations, and overseeing on-site arrangements.

Handle incoming and outgoing correspondence, including emails, phone calls, and mail distribution.

Assist with managing office supplies, inventory, and procurement orders.

Collaborate with cross-functional teams to facilitate efficient communication and project coordination.

Requirements:

Bachelor's or more advanced degree from an accredited institution in a relevant field.

Experience in Administrative Assistance

Minimum of 8 years experience.

Excellent written and verbal communication skills, with a keen eye for detail and an ability to tailor messages for different audiences.

Proficiency in using various communication tools, software, and platforms.

Strong project management skills with the ability to manage multiple priorities and meet deadlines.

Creative thinking and problem-solving abilities to address communication challenges and opportunities.

Strong interpersonal skills and the ability to collaborate effectively with internal and external stakeholders.

Knowledge of current communication trends, social media platforms, and digital communication strategies.

Experience with Power Point, Excell, & SharePoint
