Overview:

CentraState Healthcare System is seeking a Workforce Relations Coordinator to perform clerical tasks and data entry. The Workforce Relations Coordinator acts as a resource for HR inquiries. Promotes positive team member relations through coordinating employee activities.

Responsibilities:

Takes direction and assignment from HR management team and professionals as needed.

Supports new hire System orientation program and onboarding, post hire.

Sets up new hires and employee transfers into the appropriate appraisal / orientation checklist processes timely and accurately.

Re-sets passwords and answers questions for employees and managers regarding the online performance appraisal system.

Answers questions and assists employees with the online recognition program (CentraStar) as needed (sending CentraStars, redeeming points).

Coordinates the partnerships with the local high schools: Medical/Science Program and the Health Careers Pathway Program. Schedules guest speakers, career days, etc.

Recommends, plans and coordinates employee events and activities consistent with organizational objectives. This includes the service awards celebration, system week activities, Silver Club event, vacation party, etc.

Creates ID badges (new and/or replacements) as needed.

Ensures all required legal postings are current at all System locations and on CentraNet.

Is familiar with Human Resources policies (or reviews HR policies) to answer basic team member questions relating to policies, benefits and LOAs. Refers team members to appropriate HR staff member, if needed.

Coordinates the annual Sons and Daughters Scholarship. Confirms employee eligibility requirements are met. Completes check requests for scholarship checks from Accounts Payable and mails to employees’ home addresses.

Requests updated Work Authorizations from affected employees. Completes appropriate I9 documentation, updates HRIS system, and scans to employee file.

Verifies upcoming employee license/certification expiration dates using primary source where applicable. Requests updated renewal from employees if primary source verification is not available. Keys new date and scans to employee file. Notifies department heads of impending expirations that have not been renewed.

Supports the tuition assistance process by organizing tuition applications, maintaining spreadsheets, and processing the reimbursement payments as instructed.

Scans completed online exit interview forms to employee files. Conducts exit interviews of former employees over the phone when required. Completes problem logs for PTO payout as needed.

Participates in work groups, task forces and committees as requested.

Opens and distributes incoming HR office mail.

Answers busy phone lines and acts as reception to the HR Department.

Performs other duties as assigned.

Qualifications:

High school diploma or equivalent.

Previous clerical experience in HR strongly preferred.

Excellent demonstrated written and verbal communication skills.

Proficient computer skills, including data entry in volume, Microsoft Excel and Word required.

Must be detail-oriented, resourceful, energetic and enthusiastic. Must also be able to work independently, demonstrate critical thinking at all times, take initiative, and promote engagement with all team member levels.
