Jhpiego seeks a Project Assistant for the newly award USAID-funded Comprehensive Community Prevention and Continuum of Care Program – Component C in Botswana. As the technical assistance provider, Jhpiego will strengthen civil society organizations (CSOs) to be able to deliver quality HIV and social services. Jhpiego will also partner with the Government of Botswana (GOB), particularly ministries at the national level and district government offices to prioritize and strengthen their capacity for leadership, coordination of orphans and vulnerable children (OVC) and gender-based violence (GBV) response strategies, and monitoring. The initial period of performance is two years with the possibility of three-one year renewal periods.
The Program Assistant will provide programmatic and administrative support to project activities to ensure that they are designed and implemented with high quality and meet project targets. With the Project Director, the Program Assistant will support the development of the annual work plan and budgets to ensure project design is in line with project and donor-designated strategies. The Project Assistant will work with the Project Director to determine operation needs based on plans. In collaboration with the Project Director, they will develop detailed feasible implementation plans monitor progress during implementation, and provide administrative support to the project inclusive of vendor management, contracts, purchasing, travel, document compilation, editing, and proofreading.
Responsibilities
Manage overall uptake of office, responsible for organizing and managing the physical condition of the office space, office equipment, IT, mail, security, etc.
Prepare contractual documents for CD approval
Coordinate ordering and shipping of materials to support program activities (with Baltimore, as needed)
Coordinate procurement with Botswana and Baltimore staff, clear Jhpiego shipments/equipment through customs and tax exemptions
Draft/compile program documents and correspondence as needed
Collaborate with financial staff in the review, processing and reconciling of invoices and payment documentation
Schedule and support visitors
Schedule and support trainings and other program activities as needed
Coordinate meetings including preparing meeting materials, managing the Audio/Visual system, taking notes and organizing catering
Maintain program files
Maintain and administer inventory system of Jhpiego/Botswana’s office equipment, materials and supplies
Support the preparation and management of proposals as needed
Other tasks as identified by the supervisor
Maintain JHU administrative policies and procedures at the country level
Required Qualifications
BA or diploma with equivalent with 5+ years’ programmatic and administrative experience
Knowledge of administrative processes and approaches
Understanding of basic contract issues
Past experience supervising support staff
Proficiency in writing and editing letters, reports, and documents
Ability to interact skilfully and diplomatically with numerous counterparts, both domestically and internationally
Fluent in English and Setswana
Strong decision-making skills and results-oriented approach
Ability to work in a complex environment with multiple tasks, short deadlines, and intense pressure to perform
Comfortable with a team approach to programming and the ability to manage several major activities simultaneously
Aware of and sensitive to working in multiple socio-economic settings and with multi-cultural groups in a developing country environment
Proficiency in MS Office (word, excel, PowerPoint)
Preferred Qualifications
Understanding of global health and development approaches
Understanding of USG and Government of Botswana regulations
