The Bibb County School District is now accepting applications for a Secretary II.

JOB SUMMARY: Performs responsible secretarial, bookkeeping and clerical functions such as data entry, typing, filing, record keeping, composing letters, maintaining budgets, and compiling information and reports.

Operates a variety of office equipment including: personal computer, fax machine, typewriter, copy machine, calculator, telephone, etc.

REPORTS TO: Executive Director of Program for Exceptional Children SCHOOL/DEPARTMENT: Program for Exceptional Children Department QUALIFICATIONS: High school diploma or equivalent is required.

Completion of a recognized secretarial training program or related coursework is desired.

Minimum of two (2) years of experience in secretarial work is required.

Typing skills required.

NOTE: Skills assessment examinations will be administered.

Must have experience working with personal computers and various types of computer software (word processing, and/or spreadsheet programs such as MicroSoft Word, Lotus 1-2-3; Excel, etc.). Ability to work independently, under pressure and meet deadlines is required.

KNOWLEDGE, ABILITIES AND SKILLS: Knowledge of general office practices, procedures, and equipment.

Knowledge of English language, including spelling, grammar, and punctuation.

Knowledge of office filing systems.

Knowledge of computer operation, especially word processing.

Ability to work under pressure and handle deadlines.

Ability to deal courteously and diplomatically with the public.

Ability to establish and maintain effective working relationships with school officials, other employees and the general public.

Ability to organize and maintain documents and records in a readily available manner.

Ability to communicate clearly and effectively, both orally and in writing.

Ability to take and understand instructions.

Ability to operate a personal computer, word processor, and perform basic spreadsheet operations.

Skill in typing and/or operation of a computer keyboard.

Excellent organizational skills.

Ability to work diligently without constant direction provided by the supervisor.

DUTIES AND RESPONSIBILITIES: Type letters, reports, forms, documents, labels, etc; composes routine letters and correspondence.

Places and receives telephone calls; screens incoming calls and takes messages, answers inquiries or forwards calls as necessary; maintains required logs.

Greets visitors and announces to staff members as necessary; provides information on departmental services and functions.

Maintains various records and files on departmental activities, including purchasing, inventory, budget, personnel, correspondence, etc.

Assists in ordering and requisitioning supplies, materials and equipment for department and staff; accepts and receives deliveries.

Assists in scheduling and appointments of departmental staff members; makes priority judgments when necessary; monitors location and schedules of staff members.

Maintains departmental filing and record keeping system; assists with individual filing systems of staff members and maintaining student files.

Assists with arrangements and preparation of meetings, workshops, and administration of special projects, assignments or programs.

Assists visitors, staff and other employees with resolution of problems and complaints; interprets and explains departmental rules, policies, and procedures.

Organizes and prepares technical and statistical reports and surveys on departmental activities as necessary; compiles data and information as necessary.

Must maintain strict confidentially of student and employee information.

Performs other assignments as designated by the Director of Programs for Exceptional Children.

SALARY/TERMS/BENEFITS: 239 day contract year; 8 hours per day Salary Range: Grade 45 $38,010.56 - $42,847.92 annually (placement on salary schedule based on years of related experience). Up to ten years allowed.

The stated salary range reflects the opportunity for pay over the course of the employee's tenure.

For external candidates, the top pay is not a potential starting salary.
