On behalf of our client, Canada’s largest financial institution, Equality Street is looking for a proficient Executive Assistant – Team Administrator to join a large Data & Analytics team. As a member of the team, the individual will provide direct support to two senior leaders while assisting with operational functions across the group.

This is a contract opportunity for 1-year with a high chance of getting extended.

Location: Toronto, ON. HYBRID – 3-4 days per week on-site.

Responsibilities will include but not be limited to:

Administrative Support

Administrative support for 2 x Directors

Maintains calendars, including resolving conflicts effectively, coordinates meetings, conferences, and travel

As required, follow up on any agenda items or deliverables, including coordination with facilitator and presenters to deliver materials in a timely manner.

Assist with preparation, gathering information and the development of presentations by editing documents and checking reports for data accuracy.

Proactively seek opportunities to provide additional value to ensure all established deadlines/commitments are met.

Team Administrative Support

Coordinate activities for the successful onboarding of new employees to the Data & Analytics team

Support the overall objectives of the senior management team with the coordination of meeting planning and materials, including providing administrative support, organizing of team meetings, helping with town hall meetings, etc.

Driving improvements in work-space, process, and technology to enable high efficiency

Requirements

What do you need to succeed?

5+ years’ experience of executive administration/coordinator experience, providing support to senior-level management or relevant experience

Excellent interpersonal, organizational and communication skills

Comfort in dealing with individuals across all levels of a large organization

Ability to thrive in a collaborative environment with a strong capability to prioritize activities.

Highly proficient in Microsoft Word, PowerPoint, Excel, Outlook

Comfort with numbers and analytical and technical concepts

Detail-orientated with the ability to effectively manage time independently

Ability to work in a fast-paced environment

Adapt to change and navigate continuously shifting requirements
