Group CRE Shared Services Assistant

CRE Assistant

We are looking for a CRE Shared Services Assistant as part of a central team and provides support to multiple Workspace Teams across different regions. In this role, you will have the opportunity to lead on specific aspects of day-to-day workspace services to drive quality and performance standards to provide customer-focused, cost-effective, and efficient workspace support service across multiple locations and regions.

Role Responsibilities:

Provide full administrative support to various Workspace teams across the business.

Raise and release purchase orders using the Oracle iProcurement/Purchasing modules daily

Assist with the tracking and processing of workspace invoices, Investigate and resolve discrepancies between invoices, good receipts, and purchase orders

Manage the local Workspace email Inbox and answer queries in a timely manner and assist users with site-specific requests and triage requests to correct locations.

Maintain database of CAFM system across multiple locations and support with any updates required.

Track PPMs across multiple locations and ensure all preventive maintenance works are carried out according to the schedule while requesting status updates from workspace managers.

Supplier Management- Act as a point of contact for different suppliers- set up meetings, schedule works, and ensure closure of outstanding tasks.

Assist the Workspace Managers in tendering process and supplier selection process.

Ordering office supplies and replacements where required

Generate reports in accordance with CRE reporting requirements- across a number of platforms.

Essential skills and experience

Some relevant property-related or administration experience.

A passion for all things Property, Workplace, and the build environment

First-class written and verbal communication skills.

Proficiency in the use of MS Office including Outlook, Word, and Excel.

Excellent organizational skills

Excellent time management.

Strong team ethic, with the proven ability to work effectively and collaboratively within a team or independently with individuals at all levels.

Ability to work on own initiative without close supervision and as part of a team.

Desirable skills and certification

Oracle based finance systems

IOSH working safely / IOSH managing safely

CAFM and/or other facilities management software suites.
