We are looking for a Human Resources Assistant to help with multiple HR functions. The Human Resources Assistant must be reliable and able to work with attention to detail and handle sensitive and confidential situations and documentation. The person must demonstrate the ability to comprehend and execute ethical practice, showing motivation and the willingness to learn and improve. Being a team player is essential since all tasks will require close collaboration with Vice President of Human Resources.

Assists with recruitment and interview process, Tracks the status of candidates in HRIS and responds with follow-up letters at the end of the recruiting process.

Assists in the hiring process by coordinating job posting on the website, reviewing resumes, and performing telephone interviews and reference checks.

Schedules meetings and interviews as requested by the VP of Human Resources.

Makes photocopies; mails, scans and emails documents; and performs other clerical functions.

Files documents into appropriate employee files.

Assists or prepares correspondence as requested.

Ensures compliance with COBRA guidelines by preparing letters and other paperwork as directed; receives and records COBRA insurance premium payments.

Processes personnel action forms and ensures proper approvals; disseminates approved forms.

Maintains the employee handbook with updated resolutions and other pertinent information, as needed.

Assists Management with Company Review processes.

Qualifications:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Extensive knowledge of computer software (Microsoft Office Suite) PC computer hardware.

Ability to operate most standard office equipment.

Attention to detail in composing, typing and proofing materials, establishing priorities, and meeting deadlines.

Good to excellent spelling, grammar, and written communication skills.

Excellent telephone and oral communication skills.

Ability to maintain a high level of confidentiality.

Knowledge of HRIS System, preferably Paylocity.

Required Education and Experience: High School Diploma or GED or similar

Preferred Education and Experience: Experience in Human Resources, Executive Assistant or similar work. SHRM-CP or equivalent certification.

Language Skills: Ability to read, write and interpret documents proficiently in English such as policies, instructions, procedure manuals, and document information.

Preferred Language Skills: Spanish and English

Mathematical Skills: Basic math skills such as counting, addition, and subtraction.

Physical Demands:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This job involves sitting for prolonged periods. The job requires frequently required to stand, talk and hear. The employee must be able to lift and move up to 50 pounds occasionally, 25 pounds regularly. Specific vision abilities include close vision, distance vision, peripheral vision and ability to adjust focus.
