Administrative Support:
• Manage and organize schedules, appointments, and meetings for team members.
• Coordinate travel arrangements, accommodations, and itineraries.
• Handle email correspondence and filter priorities for timely responses.
• Assist in document preparation, editing, and formatting.
• Utilizing XERO for bookkeeping tasks.
• Reconciliation of expenses in Xero.
• Create and update daily ‘to-do’ lists for key team members.
Communication Management:
• Serve as a liaison between team members, clients, and external partners.
• Answer incoming calls when required and forward messages to appropriate staff – using 3CX virtual phone system.
• Outbound calls to confirm appointments and other necessary tasks as required.
• Facilitate communication through various channels, including email, chat, and virtual meetings.
• Maintain an organized system for tracking and responding to inquiries.
Task Coordination:
• Prioritize and manage tasks to ensure deadlines are met.
• Collaborate with team members to track project progress and deliverables.
• Assist in project coordination, including document management and file organization.
Research and Data Management:
• Conduct online research for relevant information, data, and market trends.
• Compile and organize data to support decision-making processes.
• Capture, create and update business systems and process flows.
