Requirements:

Minimum of 5 years of experience as a legal secretary, preferably with a focus on civil litigation. - not negotiable

Proficiency in legal software and office applications, including Microsoft Office Suite, document management systems, and legal research tools.

Strong understanding of civil litigation procedures, court rules, and filing requirements.

Excellent organizational skills with the ability to multitask and prioritize assignments effectively in a deadline-driven environment.

Exceptional attention to detail and accuracy in document preparation and proofreading.

Excellent written and verbal communication skills, with the ability to interact professionally with clients, attorneys, and staff.

Ability to work independently with minimal supervision and also collaborate effectively as part of a team.

Flexibility to adapt to changing priorities and work extended hours when necessary to meet deadlines.

Degree or certificate in legal studies or related field preferred.The ideal candidate will possess exceptional organisational abilities, strong attention to detail, and proficiency in legal procedures related to civil litigation. This role requires an individual who can thrive in a fast-paced environment, prioritize tasks effectively, and communicate efficiently with attorneys, clients, and other team members.

Responsibilities:

Provide comprehensive administrative support to attorneys specialising in civil litigation.

Manage and maintain attorney calendars, including scheduling court appearances, depositions, meetings, and deadlines.

Prepare, draft, and format legal documents such as pleadings, motions, briefs, subpoenas, and correspondence.

Coordinate document production and discovery processes, including organizing, indexing, and filing case files.

Assist in preparing for trials, hearings, and arbitrations by compiling exhibits, witness lists, and trial binders.

Conduct legal research using online databases and other resources to gather relevant case law, statutes, and regulations.

Communicate professionally and promptly with clients, opposing counsel, court personnel, and vendors.

Manage and prioritize incoming communications, including phone calls, emails, and mail, ensuring timely responses and follow-up actions.

Maintain confidentiality and adhere to ethical standards in handling sensitive information and client matters.

Collaborate with other legal support staff to ensure efficient workflow and provide backup assistance when needed.
