Reporting to the Vice President of Bermuda Operations & Group Outsourcing, the Assistance Vice President, Outsourcing will be responsible for managing local Outsourcing Coordinator duties for Bermuda, Cayman, and Halifax. This role requires collaborating with each Butterfield entity to prepare, analyse, and monitor all outsourcing activities in-line with organizational strategies, policies, and regulatory best practices. The successful candidate must be organized and possess strong communication, computer, and technical skills.

Your responsibilities will include:

• Supporting the Group Outsourcing Committee (GOC), including creating the agenda, taking minutes, drafting reports, and managing emails related to outsourcing activities.

• Coordinating with all Bank jurisdictions to obtain outsourcing related reports, such as monthly KPIs, quarterly GOC reports, and new outsourcing proposals.

• Maintaining the Group Outsourcing central repository to ensure accurate cataloguing and filing of all outsourcing-related documents.

• Ensuring locally initiated outsourced activities meet regulatory standards and are reported to GOC in a timely manner.

• Providing appropriate management oversight and ongoing monitoring of outsourced activities in accordance with policy.

• Documenting all outsourcing-related breaches and escalating them to senior management and/or GOC in a timely manner.

• Ensuring all business areas under local remit understand their designated responsibilities as defined by the Outsourcing policy.

• Escalating any identified issues regarding outsourced services or compliance with policy requirements to the appropriate management level committee.

• Assisting in escalating all outsourced services assessed as Material to GOC for approval, including obtaining regulatory approvals and submitting notifications as required.

• Addressing questions, concerns, and issues related to the management and monitoring of outsourced relationships.

• Tracking, monitoring, and coordinating outsourcing reports and support regulatory submissions.

• Undertaking any other tasks assigned by management to achieve departmental goals and objectives.

Your qualifications ans Skills will include:

• Bachelor’s degree in business, finance, management, and/or three years banking or vendor management experience.

• Strong technical skills, including proficient knowledge of Microsoft office suite of applications (Word, Excel, PowerPoint, Outlook, Access).

• Project management skills would be an asset.

• Ability to consistently meet deadlines and prioritize tasks in a deadline driven environment.

• Three years of experience in managing and delivering outsourced services will be an asset.

• Strong organizational, analytical, and problem-solving skills with the capability of assisting the management team in leading support staff in meeting goals in a deadline driven environment.

• General knowledge of banking and trust services and products.

• Willingness and ability to adjust working hours with minimal notice and to work on public holidays.
