Job Duties: "Limited telework options." The Division for Community Living within the Department for Aging and Rehabilitative Services (DARS), in collaboration with community partners, provides and advocates for resources and services to improve the employment, quality of life, security and independence of older Virginians, Virginians with disabilities, and their families.

The Division for Community Living receives substantial funding from the Commonwealth to augment federal programs and to offer additional programs to people with disabilities and older Virginians.

We are seeking an Executive Assistant to work for the Deputy Commissioner, Division for Community Living.

The incumbent will serve as the administrative point of contact for the Division for Community Living and to the Deputy Commissioner, Directors, Managers, and other division staff by performing a variety of analytical, coordinative, and administrative duties for a division with multiple program activities.

The incumbent in this position will provide support with fiscal activities to include procurement, desk monitoring of external programs, creating and analyzing fiscal reports, budgeting, tracking legislative changes, purchasing card, reconciliation, and inventory management.

Analyzes correspondence and information received from internal and external customers and determines the nature and criticality of such and the appropriate individual(s) responsible for taking action.

Supports statewide activities related to fiscal monitoring, resources, training, and technology resources.

Interacts with division staff, central office staff, community partners, consumers, and other DARS staff to ensure the success of the agency's mission to provide quality services.

Minimum Qualifications: The ideal candidate will have: Knowledge/Experience - Knowledge of budget process, procurement, and human resources.

Working knowledge of word processing software, data base management software, and other software applications.

Knowledge of current technology in office automation, including software packages.

Business training and demonstrated ability to manage an executive office.

Training and/or experience in business office practices and procedures.

Demonstrated ability to perform multifaceted analytical, and administrative duties in support an executive; ability to research, gather facts, and provide recommendation and to establish and maintain collaborative working relationships with agency staff, constituents, and the general public to include those from diverse social and economic environments.

Skills/Abilities - Ability to independently assign priorities and perform a wide variety of duties involving complex analysis of statewide programs and activities.

Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.

Ability to communicate effectively both orally/and in writing and to create correspondence/reports for executive management.

Additional Considerations: Knowledge of the disability services network and services in Virginia.

Experience with state services agencies.

Working knowledge of federal, state, and agency rules, regulations, policies, and governmental relationships.

Ability and experience in coordinating and implementing constituent services within a human services agency setting and to devise and monitor tracking systems for all documentation submitted for review by the Deputy Commissioner.
