PROJECT COORDINATOR

This full-time position reports to the assigned program management team members

The Project Coordinator supports the Sr. Project Manager(s) with the planning and management of selected projects. Elements include but are not limited to:

KEY RESPONSIBILITIES:

Contribute to project execution according to company standards within established budgets and timeframes.

Provide general project and administrative support to the project management team.

Assist in the preparation and completion of assigned project production books.

Set priorities, demonstrates proactivity, and assumes a leadership role for assigned work.

Keep project management and field production teams informed of project status.

Develop an understanding of client's business and objectives.

Support day-to-day client contact as directed by manager.

Assist with internal and client-facing agendas, meeting and call recaps, take meeting notes.

Develop an understanding of basic event production and event planning workstreams.

Work alongside field production and transportation/logistics teams, keeping them informed of needs and changes.

Organize all relevant job information and provide to team members in a timely manner.

Obtain necessary event information, including site determination, permitting and supplies needed.

Source and manage vendors for event materials and on-site execution as directed by manager.

Travel to on-site events on occasion and assist in program execution.

Other duties as assigned.

THE IDEAL CANDIDATE WILL HAVE:

Excellent attention to detail and the ability to follow through.

Ability to work as part of a team and independently.

Ability to handle basic negotiations with supplier partners.

Knowledge of special event operations, management, and live event programming.

Ability to travel infrequently, including at times for lengthy durations or over weekends/holidays.

Excellent organizational and time management capabilities.

Demonstrated problem solving skills and ability to implement solutions quickly.

Solid communication skills - written and verbal.

Polished, professional demeanor, projects confidence and enthusiasm for the business.

Self-motivation.

Ability to help with set-up, tear down and troubleshoot display elements at events including digital elements.

Ability to manage multiple projects at one time and prioritize responsibilities.

Ability to carry out a series of instructions without constant supervision.

Confidence in leading meetings, team calls and presentation.

QUALIFICATIONS:

Bachelor's degree preferred.

Minimum of one year business experience in a related field.

Previous event related experience preferred.

Marketing related internship preferred.

Strong computer skills - MS Office (including Outlook, Excel, PowerPoint, and Word) and G Suite.ADDITIONAL REQUIREMENTS:

Able to work for extended periods of time in various weather conditions.

Able to sit at a desk for prolonged periods.

Able to lift and move up to 40 pounds of material at a time.

Must be a licensed driver and have a reliable vehicle (Required).

Must be able to travel occasionally.

Work non-traditional hours including some nights, weekends, and holidays.

Ability to carry out a series of instructions without constant supervision.

Able to remain professional and courteous at all times.

Work out of Evolve's Sturtevant, WI office.
