Overview:

The RECEPTIONIST duties include, but are not limited to, working at the reception area for GHCM and welcoming all incoming visitors, answering company phone lines, disseminating e-mails upon receipt, and sorting and distributing mail to the proper team member. This position must have the perceptiveness, interpersonal and organizational skills required to deal effectively with a wide range of people, including senior level executives, property managers, and outside contacts all while providing quality customer service.

Responsibilities:

Essential Duties and Responsibilities

Hours are Monday-Friday 12:30pm-5:00pm

Must be in the office until 5pm each day to turn off lights and lock front doors of receptionist area.

Manage all incoming calls and forwarding to appropriate personnel.

Check all emails and faxes from the night before and respond/forward appropriately.

Review Emergency After Hours log and forward to the appropriate Manager to review.

Maintain personnel log-in/out sheet, preparing a new sheet each day and updating personnel changes when needed.

Update contact lists with the current information to assist in answering and forwarding incoming calls.

Promote goodwill among clients, owners, coworkers, and contractors.

Assist visitors with requests.

Ask who they are here to see and if they have an appointment. Contact whomever the visitor is here to see and let the manager know someone is here to see them and what it is regarding.

Please have the visitor take a seat.

Sort incoming mail, date stamp, and distribute to appropriate personnel.

Alert appropriate personnel of customer complaints.

Schedule pick-ups for any Fed-Ex, UPS or courier services for employees (originator must complete distribution checklist when leaving correspondence at receptionist desk to be picked up).

Log in and Log out each package -- incoming and outgoing.

Follow and adhere to Legal Served Documents Procedures, and complete tracking log.

Before closing, prepare receptionist area for the next business day.

At closing time lock doors and turn off lights in the reception area.

Make sure the reception area is clean and neat.

Make sure reception area is stocked with appropriate tools to assist in day-to-day activities for co-workers, and visitors.

Assist Executive Assistant when additional support is needed within the office.

Qualifications:

Reliable and dependable, able to be to work on time each day. Excellent customer service skills, able to communicate effectively and efficiently using office tools to assist customers in a timely manner. Skilled in Microsoft Software (Excel, Outlook, Word). Detail oriented, and well organized. As the first point of contact, must represent the company in a professional manner at all times.
