Are you looking to manage a team and portfolio of incredible and diverse clients and gatherings? A mix of strategy and execution while fostering great relationships to help Ember's clients achieve great success through gathering. If you love being in the board room, pushing the boundaries of "why are you gathering?" or "What would success be" and then leading the design response from producers and creatives to WOW the client...and then overseeing through execution...do we have the role for you!

Focus: To oversee, manage and execute large-scale complex Ember events and projects while managing direct reports. To take a gathering from start to finish while meeting the standards of an Ember portfolio gathering (objectives met, client expectations, budget performance, attendee satisfaction).

THE ROLE

50% Gathering planning, 25% Team management, 15% Strategic gathering work, 10% Relationship management with brands

Leader for your project team. Oversee a book of business/portfolio of brands/events and work as a team to achieve success.

Manage unique multi-faceted events of all sizes and scales, independently, and through collaboration with captains

Oversee all aspects including but not limited to; budget management, attendee management, general session production & live shows, site selection, food + beverage, activities, transportation, creative + media development

Utilize Ember’s Project Management tools to create and sustain project timelines, organize files, communicate information to the project team, and archive project documentation

Exercise autonomy while adhering to Ember’s project process and keeping your team accountable

Think outside the box, exercise creativity, and pursue opportunities to create authentic and unique gatherings

Recognize learnings through successes and areas of improvement so that best practices are shared and followed

Travel is expected at a minimum of 25% or 7.5 days per month - this includes site visits, client meetings, and onsite at events. This could vary month-to-month.

COLLABORATE WITH THE EMBER TEAM, CLIENTS, AND VENDORS

Act as main client liaison, providing proactive consultation throughout program development and execution as well as retention of future recurring and developing and responding to new business opportunities with client

Set the tone with communication excellence, both written and verbal, exercising proficiency with internal team members while interfacing with clients externally

Practice effective meetings criteria when working internally and externally

Manage internal project team, including Gatherings Coordinators, Gathering Producers, Designers, Creative Managers, Production Designers, Contractors and Interns as needed to complete projects

Build DEEP relationships with clients, managing expectations and deliverables from initial proposal through project completion

Develop and grow the team by coaching, training, and leading by example. Direct reports need bi-weekly huddles to track progress, facilitated reviews, and professional development SMART goal support.

Engage Ember-preferred vendors as collaborators delivering exceptional services. Source, negotiate, and manage budget and detail specifications, while strengthening partnerships

Hold team accountable for “red line” and production meetings and “reflects” that allow every detail of the project to be examined, through thoughtful and intentional team discourse

Requirements

ACCOUNTABILITY

Quality control and health of events and clients managed

Responsible COGS management at or above 5% per gathering

Manage your team’s book of business of $700K-1M

Independently manage a portfolio of $350-500K+ in project revenue - that includes at least (2) large $100,000+ NET event/gathering (NAMIC AC, ASQ WCQI, or WWW Brand Conference size projects)

QUALIFICATIONS

Bachelor’s Degree or higher education preferred

Portfolio of “Gathering” work - 7+ years worth

Experience managing team members - 1+ years worth

Moldable - the ability to be shaped by Ember

Customer-centric minded

The ability to work independently and collaboratively

Attentive to all details

The ability to be vulnerable

A sense of humor

Ability to take and learn from feedback rich environment

You have to love MS TEAMs, project management software and effectively interact with groups of people
