Opening for Senior Accountant, HR and Admin Manager for a Full Time Job at VTPL

We are looking for enthusiastic, passionate, reliable, competent and committed Senior Accountant who can take complete ownership of accounting along with managing Human Resources and Administration for the organization; enable and drive business growth, ensure sustainability and customer satisfaction.

This job requires Full time working from office.

Work Timings: 9 am to 6 pm between Monday to Saturday and weekly off on Sunday

Responsibilities:

• As an Accountant (Primary Responsibility):

o Ensures the integrity of accounting information by recording, verifying, consolidating, and entering transactions, both physically and digitally

o Prepares and records asset, liability, revenue, and expenses entries by compiling and analysing account information.

o Maintains and balances subsidiary accounts by verifying, allocating, posting, and reconciling transactions and resolving discrepancies.

o Maintains general ledger by transferring subsidiary accounts, preparing a trial balance, and reconciling entries.

o Summarizes financial status by collecting information and preparing balance sheet, profit and loss, and other statements.

o Produces payroll by initiating computer processing; printing checks, verifying finished product.

o Completes external audit by analysing and scheduling general ledger accounts and providing information for auditors.

o Avoids legal challenges by complying with legal requirements.

o Secures financial information by completing database backups.

o Protects organization’s value by keeping information confidential.

o Coordinating accounting functions and programs.

o Preparing financial analyses and reports.

o Preparing revenue projections and forecasting expenditure.

o Assisting with preparing and monitoring budgets.

o Assisting with annual audit preparations.

o Investigating and resolving audit findings, account discrepancies, and issues of non-compliance.

o Preparing central, state, local, and special tax returns, both direct and indirect, professional tax etc. and all applicable taxes, as required

o Make recommendations based on analysis and status of reserves, assets and expenditures

o Ownership of financial and tax audits representing Finance department

o Maintain the general ledger, prepare tax returns, assist with audit preparations, and perform other accounting duties as assigned

o Supplement, track, and be held accountable to all applicable KPIs

o Monthly, quarterly and annual return filing to CA/CS/ROC/GST/Food License authorities and query resolution by personally meeting respective service providers

o Managing both Accounts Receivables and Accounts Payable and creating required reports and dashboards for reporting purposes

o Calculation commissions and incentives for affiliates and employees

• As a Human Resources Manager (Secondary Responsibility):

o Planning recruitment drives and ensuring onboarding in target sets by the organization by ensuring there is no business loss due to unavailability of resources

o Maintaining Affiliate documentation, leave balance, In/Out times, on-boarding and off-boarding formalities for affiliates, employees, freelancers and part time executives etc. as per the organization’s requirements

o Support the development and implementation of HR initiatives and systems

o Provide counselling on policies and procedures to all stakeholders

o Create and implement effective on-boarding plans and ensure smooth off-boarding

o Develop training and development programs

o Be actively involved in recruitment by preparing job descriptions, posting ads and managing the hiring process

o Maintain employee records (attendance etc.) according to policy and legal requirements, track and record employee in-out timings and process salaries accordingly as per applicable policies

o Assist in performance management processes

o Drive employee engagement activities

o Handling Employee engagement activities and employee grievances and ensuring required communication with respective Leaders

o Support the management of disciplinary and grievance issues

o Review employment and working conditions to ensure legal compliance

o Develop training and development programs

o Assist in performance management processes

o Handling employee compensation and benefits

o Addressing work-related issues of individual employees

o Develop and deploy organization wide policies and ensure they are in effect in the working environment

o Involvement in implementation of ERP (Enterprise Resource Planning software)

o Ensure affiliate on-boarding processes and manage their contracts and agreements

o Establish connects with various colleges and institutes to enable hiring fresh talent in an on-going fashion

o Support the development and implementation of HR initiatives and systems

o Provide counselling on policies and procedures

o Supplement, track, and be held accountable to all applicable KPIs

• As an Administration Manager (Secondary Responsibility):

o Manage all external stakeholders (vendors and service providers) required for office administration and act as SPOC for all such communications

o Maintaining required standards of Cleanliness, Hygiene in office and factory premises.

o Provides administrative support to ensure efficient operation of the organization, its offices and factories.

o Answers phone calls, schedules meetings and supports visitors.

o Carries out administrative duties such as filing, typing, copying, binding, scanning etc.

o Completes operational requirements by scheduling and assigning administrative projects and expediting work results.

o Makes travel arrangements for senior staff such as booking flights, cars, and hotel or restaurant reservations.

o Exhibits polite and professional communication via phone, e-mail, and mail.

o Supports team by performing tasks related to organization and strong communication.

o Develops administrative staff by providing information, educational opportunities, and experiential growth opportunities.

o Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.

o Provides information by answering questions and requests.

o Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.

o Contributes to team effort by accomplishing related results as needed.

• Be open and flexible to take up additional organizational level responsibilities outside the scope of work in case of organizational need/requirements
