We are seeking a highly organized and proactive Personal Assistant to provide comprehensive administrative support to executives and senior management. This role requires exceptional multitasking abilities, strong communication skills, and a high level of discretion. The ideal candidate will be adept at managing schedules, coordinating projects, and handling confidential information with professionalism. Experience in office management, event planning, and executive support is essential to ensure smooth daily operations and effective collaboration across departments.
Duties
Be available and responsive 24/7 to handle requests and emergencies.
Manage all communication: phone calls, emails, and messages promptly and with discretion.
Schedule and coordinate complex calendars, appointments, and meetings.
Arrange detailed travel plans, including flights, hotels, and ground transportation.
Run business and personal errands.
Handle confidential information with the utmost integrity.
Act as a liaison between the executive, family, staff, and business contacts.
Organize and prepare documents, correspondence, and reports.
Manage ad-hoc projects and tasks from start to finish.
Requirements
Proven experience as a personal assistant or executive assistant with strong administrative background.
Demonstrated expertise in office management, project coordination, event planning, and bookkeeping.
Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs), QuickBooks, DocuSign, and video conferencing software (Zoom, Microsoft Teams).
Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
Strong written and verbal communication skills along with excellent phone etiquette.
Ability to handle confidential information discreetly while maintaining professionalism at all times.
Technical proficiency in productivity software and data entry tools.
Experience working collaboratively with C-suite executives or senior management preferred.
High level of computer literacy combined with organizational skills to manage multiple projects simultaneously.
